- • Manage complex pre-award grant processes for program projects, ARPA-H, DOD, and DOE applications with minimal supervision, including budgeting, justifications, and compliance documentation.
- • Collaborate directly with faculty and Principal Investigators (PIs) to prepare, compile, and submit full grant proposals in alignment with federal and university guidelines.
- • Prepare and review all required agency forms, obtain PI and institutional signatures, and initiate subaward setups through the SUBS system.
- • Coordinate with Post-Award and OSRS units to ensure timely implementation of contracts and subcontracts by verifying and submitting necessary documentation.
- • Analyze and interpret complex Notices of Award (NOA), identifying special terms, conditions, and committed effort, then communicate findings to SPA and PIs.
- • Monitor and manage submission of annual agency reports, including Research Performance Progress Reports (RPPRs), and ensure compliance with reporting deadlines.
- • Oversee the proper transfer of PI grants and contracts into or out of Washington University, including coordination with new institutions or departments.
- • Manage post-award budgeting for complex sponsored projects, ensuring appropriate expenditures, fund reconciliation, and adherence to grant-specific policies.
- • Approve purchasing documents and provide guidance to staff on allowable expenditures under grant restrictions.
- • Administer subawards by reviewing invoices, obtaining PI approvals, and ensuring accurate financial processing.
- • Troubleshoot and resolve complex errors in fund profile setups and financial reports, including budget reallocations and carry-forward requests.
- • Prepare and process correspondence with granting agencies regarding prior approvals, no-cost extensions, equipment purchases, and effort changes.
- • Serve as the primary liaison between PIs, department administrators, and SPA to ensure accurate and timely grant administration.
- • Maintain and analyze online databases of grant submissions, awards, and rejections to identify funding trends and generate alerts for upcoming deadlines.
- • Prepare monthly financial reports on complex research accounts and present findings to PIs and senior leadership.
- • Reconcile funds, monitor spending levels, overdrafts, and cost-sharing commitments, and process budget adjustments as needed.
- • Ensure human and animal study protocols are properly linked to applicable grants and obtain documentation on foreign national participation in research.
- • Handle audit inquiries, effort distribution requests, and other internal/external requests for grant-related information.
- • Manage grant closeout activities, including submission of final progress reports, invention statements, and follow-up on delinquent technical, patent, or property reports.
- • Assist senior leadership with special projects and perform other duties as assigned.
🎯 Requirements
- • Bachelor’s degree or combination of education and experience substituting for minimum education
- • Minimum 3 years of relevant experience in grant administration
- • Proficiency in SUBS system, Research Management System (RMS), and S2S
