- • Penumbrainc Inc. is seeking a dedicated and detail-oriented Senior Human Resources Coordinator to join our dynamic team in Alameda, CA. This pivotal role is instrumental in fostering a productive and rewarding work environment for all Penumbra employees. Working under limited supervision, you will be at the forefront of coordinating a wide array of day-to-day Human Resources operational functions, touching upon various stages of the employee life cycle. Your contributions will directly impact employee experience and the smooth functioning of our HR department.
- • As a Senior HR Coordinator, you will be the primary point of contact for employee inquiries, providing excellent customer service with a commitment to timely and professional responses. You will manage an employee inquiry ticket system, ensuring that all questions are addressed, updated, and closed efficiently, or appropriately assigned to subject matter experts within the HR team. This requires a proactive approach and a deep understanding of HR processes and policies.
- • A key responsibility will involve onboarding new employees. This may include conducting engaging new employee orientation presentations, ensuring all necessary documentation, such as I-9 forms, are completed accurately and in a timely manner. You will also be responsible for processing and meticulously maintaining all documentation required for new hires, providing essential assistance with benefits enrollment, timekeeping system navigation, and clear explanations of company policies. Your diligence in these areas ensures a seamless and positive start for every new team member.
- • Maintaining the integrity and accuracy of employee records is paramount. You will be responsible for regularly maintaining and filing confidential employee files, adhering to strict data privacy and security protocols. This meticulous record-keeping is crucial for compliance and efficient HR operations.
- • In some instances, you may coordinate the complex credentialing process. This involves managing agency accounts, including access, documentation, and billing. You will also oversee employee-specific requirements such as applications, medical documents, drug tests, immunizations, and background checks, as well as ensuring the maintenance of general liability insurance and workers’ compensation certificates. This aspect of the role demands exceptional organizational skills and attention to detail.
- • You will play a vital role in knowledge management by creating and updating Standard Operating Procedures (SOPs), HR guides, and presentation content. This ensures consistency and clarity in HR processes across the organization. Furthermore, you will respond to ad hoc information requests and prepare comprehensive reports to support the HR department and other business units, providing valuable data for decision-making.
- • This position offers the opportunity to participate in special HR projects, contributing to the continuous improvement of our HR functions and initiatives. You will also support HR records management and audit requests, ensuring our systems are compliant and efficient. Maintaining accurate and up-to-date HR information on the company’s intranet and/or SharePoint sites may also be part of your responsibilities, ensuring employees have access to relevant resources.
- • A strong commitment to Penumbra’s Quality Management System (QMS) is essential. You will adhere to domestic and global quality system regulations, standards, and procedures, and ensure that other members of the department also comply. Understanding and applying relevant security, privacy, and compliance principles is critical to safeguarding company and employee data.
