  • • Provide senior-level operational and administrative support to program and project managers in delivering large-scale, computer-based statewide assessment programs on time and in compliance with contractual requirements.
  • • Develop, maintain, and monitor detailed project plans and schedules, including client planning documents, assessment timelines, and program artifacts to ensure alignment with deliverables.
  • • Track, coordinate, and resolve routine to moderately complex operational issues independently, escalating only when necessary, to minimize project delays.
  • • Execute and coordinate software user acceptance testing (UAT) and software specification verification, collecting, tracking, and documenting client feedback alongside internal team responses and resolutions.
  • • Create, design, and deliver training materials—including PowerPoint presentations and recorded modules—to educate internal staff, clients, and external stakeholders on online testing system functionality and features.
  • • Ensure quality control standards are upheld for all major project deliverables, such as reports, test content, and program products, through rigorous review and editing processes.
  • • Prepare and distribute standardized project documentation, including meeting agendas, official minutes, issue logs, tracking sheets, and other project management artifacts.
  • • Coordinate logistics for meetings, conferences, cross-program initiatives, and training sessions, managing scheduling, materials preparation, and follow-up documentation.
  • • Act as a liaison between project teams and Help Desk/support functions to ensure timely resolution of complex, client-facing technical issues and consistent communication.
  • • Respond directly to client inquiries with accurate, timely information related to assigned programs, ensuring alignment with contractual obligations and project plans.
  • • Provide editorial support by drafting, editing, formatting, and proofreading client-facing and internal documents, presentations, and reports to ensure professional standards, clarity, and consistency.
  • • Work independently on small projects or defined portions of larger programs with minimal supervision, demonstrating initiative and ownership of assigned workstreams.
  • • Travel domestically on occasion to support in-person client meetings, training sessions, and program-related events as required by project needs.

🎯 Requirements

  • • 3–5 years of relevant professional experience in project coordination, program support, or a related role
  • • Proven ability to manage multiple priorities and detailed tasks simultaneously with strong problem-solving skills
  • • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with project management tools such as Smartsheet or JIRA
  • • Excellent written and verbal communication skills, with demonstrated experience supporting client-facing project work
  • • Experience in at least one of the following: data analysis, software user acceptance testing (UAT), training development or delivery, or customer service for technology-based applications
  • • Bachelor’s degree is highly preferred
