- • Manage administrative tasks and tracking for domestic and international proposals, ensuring timely and accurate submission across global markets.
- • Support proposal management by coordinating cross-functional inputs from engineering, program management, and business development teams to compile comprehensive responses.
- • Maintain and update Salesforce CRM with accurate proposal data, pricing details, status updates, and related documentation to ensure system integrity and reporting accuracy.
- • Translate complex technical concepts from defense-tech products (Hivemind autonomy software, V-BAT, and X-BAT aircraft) into clear, concise, and compliant proposal language for government and commercial clients.
- • Assist with responses to Requests for Information (RFIs) and Requests for Proposals (RFPs), ensuring alignment with client requirements and regulatory standards.
- • Develop, standardize, and maintain process documentation for proposal workflows to support audit readiness, compliance, and onboarding of new team members.
- • Track proposal timelines, deadlines, and deliverables across multiple concurrent opportunities, coordinating with legal, finance, and technical teams to meet critical submission dates.
- • Collaborate with sales, marketing, and operations teams to ensure consistent branding, messaging, and compliance in all proposal materials.
- • Identify inefficiencies in current proposal processes and recommend improvements to increase throughput, reduce errors, and enhance team productivity.
- • Serve as a key point of contact for internal stakeholders regarding proposal status, documentation requirements, and submission protocols.
- • Ensure all proposal materials adhere to company standards, government formatting guidelines, and security protocols for classified or controlled unclassified information (CUI).
- • Support pricing efforts by gathering cost data, validating assumptions, and coordinating with finance to ensure accurate and competitive pricing structures.
- • Participate in proposal kick-off meetings, status reviews, and post-submission debriefs to capture lessons learned and improve future submissions.
- • Maintain organized digital repositories of proposal templates, past submissions, and compliance documentation for easy retrieval and reuse.
- • Adapt quickly to evolving proposal requirements and regulatory changes in defense contracting environments.
🎯 Requirements
- • Proven experience managing administrative tasks for domestic and international proposals in a defense, government contracting, or high-compliance industry
- • Strong technical writing skills with ability to distill complex technical information into clear, compliant proposal content
- • Proficiency in Salesforce CRM for proposal tracking, data entry, and reporting
- • Excellent organizational skills with ability to manage multiple concurrent proposal deadlines and priorities
- • Experience supporting RFP/RFI responses and understanding of government contracting processes
- • Strong communication and coordination skills to work effectively across engineering, sales, legal, and finance teams
