- • As a Servicing Transfers Document Image Management Specialist at Valon, you will play a pivotal role within our dynamic Servicing Transfers department. This team is responsible for the critical onboarding and off-boarding of loans to and from Valon's sophisticated servicing platform. Your primary focus will be ensuring Valon has complete and timely access to all necessary data, documentation, and funds required for effective loan servicing. You will be instrumental in keeping all relevant stakeholders informed throughout these processes and will collaborate closely with third-party service providers to support this mission-critical function.
- • In this role, you will be the linchpin in ensuring that Valon receives, accurately ingests, and meticulously classifies data files and document images in connection with every servicing transfer and partnership. Your responsibilities will span several key areas, including:
- • **File Delivery Oversight:** You will ensure that our Data Providers are equipped to deliver files in the appropriate format and adhere to strict timelines, guaranteeing a smooth flow of essential information.
- • **File Movement Execution:** You will be responsible for the timely upload of all delivered files into Valon's internal systems, maintaining the integrity and accessibility of critical data.
- • **Document Image Processing:** A core part of your role will involve classifying and onboarding document images into our Servicing System, ensuring that all homeowner and loan-related documents are correctly categorized and stored.
- • **Data File Processing:** You will expertly manage data files, ensuring they are sent to the appropriate batches for consumption by our systems, thereby facilitating efficient data processing.
- • We are seeking an individual with proven experience in file movement and transmission to bolster our Servicing Transfers organization. Beyond executing these tasks, you will be a key contributor to documenting and operationalizing these processes as Valon continues its rapid growth and scaling.
- • The ideal candidate is highly execution-minded, possesses an exceptional eye for detail, thrives under deadline pressure, and demonstrates the ability to think and operate independently. While direct experience in the mortgage servicing industry is not a prerequisite, a foundational understanding of mortgage documents and data files will significantly ease your transition into this impactful role.
- • **Key Responsibilities in Detail:**
- • Proactively ensure that all data and document image transfers, along with associated processes, are on track for timely completion, consistently aiming to finish ahead of critical transfer-related deadlines.
- • Guarantee the complete ingestion of all data files and document images by effectively utilizing Valon's robust data file movement framework.
- • Promptly escalate any delays encountered in data file or document image management, collaborating closely with both internal teams and external stakeholders to devise and implement backup plans for uninterrupted execution.
- • Serve as the internal subject matter expert on various data file and document image delivery methods to Valon, including SFTP setup and configuration.
- • Coordinate with third-party partners who leverage Valon's SFTP infrastructure, including the secure sharing of credentials, providing clear references for delivery limitations (e.g., format, folder structure), and confirming the successful receipt of document and data file deliveries.
- • Meticulously troubleshoot any issues that arise with file delivery, ensuring swift resolution.
- • Verify that all files are correctly placed in their designated folders prior to movement and ingestion, and proactively move files to the correct locations if discrepancies are found.
- • Skillfully set up file integrations and configure data files on a transfer and partnership basis, utilizing Valon's proprietary internal data file movement system.
- • Implement and manage document classification mappings, closely monitoring the execution of document classification to ensure that classification thresholds are met in a timely manner, working collaboratively with Servicing Transfers deal teams.
- • Actively manage the relationship with our third-party data extraction and indexing vendor, coordinating document delivery and receipt to ensure seamless operations.
- • Drive the operationalization of data file and document image management processes by creating comprehensive training materials, writing clear and concise standard operating procedures (SOPs), documenting best practices, and championing the adoption of new, efficient procedures across the team.

🎯 Requirements
- • 3-4 years of experience in data and document transfer management, including proficiency with SFTP, HDD, USB, and GCP (Google Buckets).
- • Basic domain knowledge of mortgage industry documents and data files.
- • Excellent communication skills (verbal and written), strong troubleshooting abilities, and exceptional organizational skills with meticulous attention to detail.
- • Experience in operationalizing or building processes within an imaging department of a mortgage servicer or imaging vendor.
