- • Lead the execution and cross-functional coordination of global Tier 1 and Tier 2 congresses for Gilead and Kite, ensuring alignment with therapeutic area objectives and standardized processes.
- • Develop and maintain congress strategies in partnership with the Congress Orchestrator, translating strategic goals into actionable plans with defined resources, tactics, and measurable outcomes.
- • Oversee all aspects of event timelines, deliverables, compliance reviews, and VEM (Vendor Event Management) processes to ensure regulatory adherence and operational excellence.
- • Support and lead Core Congress Committees and Sub-Teams, facilitating planning cadence for therapeutic area-specific meetings, exhibit booths, and symposia with clear objectives and strategic alignment.
- • Serve as the primary point of contact for professional associations regarding congress timelines, sponsorship agreements, and program details.
- • Manage end-to-end exhibit booth execution and onsite operations, including coordination with external agencies and development of internal meeting "run of show" documents.
- • Own and maintain critical congress assets including asset trackers, master decks, pre- and post-conference materials, and project documentation.
- • Lead project management platforms (e.g., ASANA) to track progress, manage dependencies, and ensure timely delivery of congress-related initiatives.
- • Oversee budget management for global congress activities, including financial reconciliation, cross-charge processes, and accurate tracking of expenditures.
- • Manage work orders and purchase orders for non-logistics vendors and congress sponsorships, ensuring procurement compliance and timely vendor payments.
- • Assist in developing and executing congress communication plans, including leadership updates, internal newsletters, and meeting agendas to ensure transparency and alignment.
- • Establish and track key performance metrics to evaluate congress effectiveness and drive continuous improvement toward a "best in class" Global Congress Center of Excellence.
- • Partner with Compliance, Legal, and Regulatory teams to ensure all congress materials, activities, and sponsorships meet applicable federal, state, and international regulatory standards.
- • Coordinate seamlessly with Global Congress CoE, U.S. teams, international affiliates, and Kite to ensure unified planning and execution across geographies.
- • Demonstrate People Leader accountabilities by creating inclusion, developing talent, and empowering teams through coaching, feedback, and alignment with organizational purpose.
- • Travel up to 30% domestically and internationally to support congress events, stakeholder meetings, and on-site operations.
- • Work flexible hours as needed to accommodate global time zones and business demands.
🎯 Requirements
- • Bachelor’s degree and 8 years of experience OR Master’s degree and 6 years of experience
- • 8+ years of relevant pharmaceutical marketing experience with prior congress leadership experience
- • Proven ability to independently lead high-visibility strategic projects in a global matrix organization
- • Exceptional interpersonal, verbal, and written communication skills with experience influencing senior leadership
- • Expertise in global pharmaceutical planning, budget management, and regulatory compliance
- • Demonstrated excellence in project management across multiple concurrent priorities in fast-paced environments
