  • • Coordinate complex interview schedules across multiple time zones, including booking meeting rooms and arranging both video and onsite interviews for candidates.
  • • Manage all travel logistics for candidates, including flights, lodging, rental cars, and other related arrangements to ensure seamless interview experiences.
  • • Serve as the primary point of contact for candidates throughout the preboarding phase, providing timely updates on their hiring status and ensuring a positive, professional experience.
  • • Initiate and track background checks and drug screenings for new hires, coordinating with third-party vendors to ensure compliance and timely completion.
  • • Process E-Verify documentation and ensure all pre-employment compliance requirements are completed before start dates.
  • • Navigate and update records in the Applicant Tracking System (ATS) Greenhouse and HRIS platform ExponentHR to maintain accurate candidate and hire data.
  • • Manage multiple candidate pipelines simultaneously while balancing competing calendars and preboarding tasks with precision and attention to detail.
  • • Communicate clearly and empathetically with candidates via phone, email, and other channels, maintaining professionalism and responsiveness at all times.
  • • Collaborate with recruiting and HR teams to streamline preboarding workflows and resolve any bottlenecks in the hiring process.
  • • Ensure all documentation and compliance steps are completed in accordance with company policy and legal requirements.
  • • Maintain confidentiality and data integrity when handling sensitive candidate and employee information.
  • • Adapt quickly to changing priorities and emerging needs in a fast-paced, high-volume recruitment environment.
  • • Support the transition of new hires from offer acceptance to onboarding by ensuring all preboarding tasks are completed accurately and on schedule.
  • • Work in a hybrid model: five days per week in the Irving, Texas office with one day per week remote after full training is completed.
  • • Assist in identifying process improvements to enhance efficiency and candidate experience within the preboarding workflow.
  • • Maintain accurate records and reports on preboarding progress, compliance status, and candidate communication logs.
  • • Provide administrative support to the talent acquisition team as needed to ensure smooth daily operations.
