  • • Manage end-to-end interview scheduling for candidates across Canada and the United States, ensuring accuracy, speed, and a seamless candidate experience through timely verbal and written communication.
  • • Maintain and update candidate records and interview progress in Xenon’s Applicant Tracking System with strict adherence to data integrity standards.
  • • Facilitate background and reference checks, including vendor coordination and documentation management for all hires.
  • • Coordinate core recruiting operations including job approvals, job postings, and preparation of employment agreements.
  • • Collaborate with hiring managers and interviewers to align availability, manage schedule changes, and proactively communicate updates across time zones.
  • • Support Xenon’s student programs by coordinating with hiring managers and local post-secondary institutions for recruitment activities.
  • • Coordinate onboarding activities including pre-arrival communication with new hires, scheduling Corporate Orientation with internal trainers, and administering work authorization processes such as Form I-9 verifications.
  • • Ensure completion of mandatory corporate training by new hires and track compliance through HR systems.
  • • Manage employee life-cycle transactions including annual performance management tracking, drafting employee change forms and letters, compensation administration, and departure documentation.
  • • Collaborate with the Payroll team to ensure timely and accurate submission of HR-related data for payroll processing.
  • • Perform high-quality data entry and maintenance in Xenon’s HRIS (Dayforce) for Core, Onboarding, and Performance modules in collaboration with the HR team.
  • • Support Workday systems implementation initiatives by assisting with data migration, testing, and process alignment.
  • • Maintain accurate employee files, prepare organizational charts upon request, manage HR templates and business records, and handle expense management as assigned.
  • • Stay current with Xenon’s HR systems, tools, policies, and procedures, and provide clear explanations to employees regarding routine HR programs and policies.
  • • Exercise sound judgment in handling sensitive or confidential employee matters and escalate complex issues to senior HR team members promptly.
  • • Conduct all HR administrative tasks in alignment with company policies including the Code of Business Conduct and Ethics.
  • • Proactively identify opportunities for process improvements and streamline HR operations to enhance efficiency and accuracy.
  • • Work in a hybrid model requiring a minimum of two days per week in the Vancouver, BC office.
  • • Interact professionally with all levels of the organization, building relationships across departments and supporting cross-functional HR initiatives.
  • • Ensure compliance with Canadian and U.S. employment, human rights, privacy, and immigration laws in all HR coordination activities.

🎯 Requirements

  • • Bachelor’s degree in Business Administration with a specialization in Human Resources Management is desired.
  • • 2-4 years of Human Resources experience in an operational and administrative capacity in a fast-paced environment.
  • • Previous experience with Workday is required.
  • • Experience managing high-volume recruiting coordination, including complex scheduling across multiple interviewers and time zones.
  • • Proficiency in Microsoft products (Outlook, Teams, Word, Excel, PowerPoint) and SharePoint.
  • • Knowledge of Canadian and U.S. employment, human rights, privacy, and immigration laws is preferred.
