- • As a Talent Coordinator at OLIX USA Inc., you will play a pivotal role in supporting the company's ambitious growth trajectory by ensuring a world-class hiring experience. In this critical period of expansion, your primary focus will be on facilitating a seamless and efficient end-to-end interview process for top-tier talent. You will be the linchpin connecting candidates, hiring managers, and the broader People and Operations teams, ensuring clear communication and meticulous logistical coordination.
- • Your responsibilities will encompass the full spectrum of interview scheduling, from initial outreach and calendar management to coordinating complex travel arrangements and confirming all necessary details. This requires a proactive and highly organized approach, anticipating needs and proactively resolving potential roadblocks to maintain momentum.
- • You will serve as the primary communication hub, ensuring all stakeholders—candidates, recruiters, interviewers, and hiring managers—are consistently informed and aligned throughout each stage of the recruitment lifecycle. This involves providing timely updates, managing expectations, and acting as a trusted point of contact.
- • A significant aspect of your role will involve directly engaging with candidates during their on-site interview days. This includes extending a warm welcome, managing their schedule, and ensuring they have a positive and memorable experience that reflects OLIX's commitment to excellence and innovation.
- • Maintaining the integrity and accuracy of our Applicant Tracking System (ATS) is paramount. You will be responsible for rigorous data entry, ensuring all candidate records are complete, up-to-date, and reflect the current status of each applicant. This data will be crucial for reporting and operational insights.
- • You will be tasked with producing and disseminating weekly pipeline and progress reports derived from the ATS. These reports will provide valuable insights into recruitment velocity, candidate flow, and overall hiring team performance, enabling data-driven decision-making.
- • Beyond core coordination, you will have the opportunity to contribute to broader recruiting operations by tackling ad-hoc initiatives. This could involve process improvements, developing new tools, or supporting strategic projects aimed at enhancing the efficiency and effectiveness of our hiring efforts.
- • A key responsibility is the proactive identification, planning, and organization of hiring events. This involves conceptualizing engaging events, coordinating logistics, and ensuring they align with OLIX's employer branding strategy to attract and secure top talent.
- • Ensuring candidates are promptly reimbursed for their interview-related travel expenses is a critical component of providing a high-touch experience. You will manage this process efficiently and accurately, demonstrating OLIX's respect for candidates' time and resources.
- • In addition to your core talent coordination duties, you will provide ad hoc office management support as required, contributing to the smooth day-to-day operations of the Austin office and supporting the People and Operations teams.
- • This role demands a creative mindset, particularly when navigating the complexities of scheduling and travel within the fast-paced accelerator or deep tech space. Your ability to think outside the box and find solutions for unique challenges will be highly valued.
