  • • Day-to-day responsibilities include booking flights, hotels, rental cars, and ground transportation exclusively within Ramp, the company’s centralized travel management system, ensuring all itineraries comply with company policies, budget constraints, and event timelines.
  • • The coordinator actively optimizes travel plans for cost efficiency, timing, and operational feasibility, particularly when managing bulk or multi-person bookings for production crews attending events in various geographic locations.
  • • A core function is aligning travel itineraries with dynamic production schedules and event timelines, proactively communicating updates to contractors and serving as the single point of contact for all travel-related inquiries to reduce confusion and delays.
  • • The role requires real-time disruption management, including responding to flight cancellations, delays, missed connections, and hotel issues by rapidly rebooking travel with minimal impact on event execution, often during extended or peak travel hours.
  • • Within Ramp, the coordinator owns the end-to-end travel booking workflow, properly utilizing virtual cards, enforcing spend controls, ensuring accurate expense categorization, and maintaining documentation for compliance and audit readiness.
  • • They track and analyze travel spend trends, identifying opportunities for optimization and reporting insights to support smarter budgeting and vendor negotiations.
  • • Coordination with external partners—including airlines, hotels, rental car agencies, and any third-party travel agencies or concierge services—is essential to resolve issues, escalate when necessary, and negotiate favorable terms or solutions.
  • • The position demands 2–5+ years of experience in travel coordination, operations, logistics, or production/event operations with significant travel exposure, particularly in booking flights, hotels, and rental cars at scale.
  • • Success in this role requires exceptional organizational and multitasking abilities in fast-paced, ambiguous environments, where attention to detail must remain uncompromised despite frequent last-minute changes.
  • • Excellent communication skills are vital for interacting clearly and empathetically with distributed contractors, many of whom may be in different time zones or working non-traditional hours.
