Full Job Description
đź“‹ Description
- • Serve as the single point of accountability for the end-to-end vendor lifecycle, from initial sourcing and onboarding through ongoing performance management and contract renewal or termination. You will own the vendor panel for assigned business channels and ensure every third-party partner meets First American’s rigorous quality, compliance, and customer-experience standards.
- • Orchestrate the full contract lifecycle—drafting, redlining, negotiating, executing, and archiving all vendor agreements—while maintaining an organized, searchable repository in SharePoint. You will track critical dates, auto-renewals, and amendment windows to eliminate lapses in coverage or compliance.
- • Build and continuously refine vendor profiles in the Vendor Panel system, ensuring that licenses, insurance certificates, W-9s, diversity certifications, and regulatory documents are current, accurate, and easily retrievable for audits or management reviews.
- • Conduct quarterly performance audits and ad-hoc spot checks that evaluate service-level adherence, turnaround times, error rates, and customer satisfaction scores. Translate findings into concise, data-driven reports and present actionable recommendations to senior leadership.
- • Partner with Legal, Risk, Procurement, and business-channel stakeholders to interpret state and federal regulatory changes (e.g., TRID, CFPB, state licensing updates) and translate them into updated vendor requirements, policy amendments, and training materials.
- • Counsel underperforming vendors through structured improvement plans, root-cause analyses, and coaching sessions. When necessary, initiate corrective action or off-boarding procedures while minimizing disruption to active transactions.
- • Generate leads and recruit new vendors to expand geographic coverage and product capabilities. You will evaluate prospective partners against financial stability, licensing, E&O coverage, and diversity criteria, then shepherd them through the onboarding funnel.
- • Analyze weekly dashboards and KPI reports to identify trends—such as rising defect rates or geographic capacity gaps—and proactively recommend process or staffing adjustments before issues impact customers.
- • Maintain the enterprise vendor inventory, ensuring every record includes accurate contact information, product lines supported, pricing schedules, and performance history. Your meticulous upkeep will be the backbone of strategic sourcing decisions.
- • Serve as a trusted resource for internal customers (title officers, escrow officers, sales, and operations) who rely on vendor services daily. You will field escalations, clarify policy nuances, and provide real-time status updates to keep transactions on schedule.
- • Champion First American’s “People First” culture by fostering transparent, respectful communication with vendors and colleagues alike. You will model inclusive behaviors and actively contribute to an environment where diverse perspectives are celebrated.
- • Leverage advanced Excel functions (pivot tables, v-lookups, Power Query) and Power BI to automate reporting, reduce manual effort, and surface insights that drive continuous improvement across the vendor ecosystem.
- • Participate in cross-functional projects—such as system upgrades, RFP initiatives, or M&A integrations—where your vendor expertise will be critical to seamless transitions and risk mitigation.
- • Stay ahead of industry best practices by attending webinars, benchmarking peer companies, and sharing learnings with the team. Your intellectual curiosity will help First American maintain its reputation as an innovative leader in title and escrow services.
