- • Build and maintain capacity models across service lines and teams to align workforce availability with project demand
- • Identify utilization trends and recommend adjustments to balance workloads and prevent burnout or underutilization
- • Support workforce planning decisions including hiring, outsourcing, and internal resource redistribution based on operational needs
- • Help forecast client demand and align staffing plans with anticipated business growth and project pipelines
- • Coordinate staffing across active projects to match skills, timelines, and priority levels with project requirements
- • Partner with team and project leaders to manage cross-functional resource needs and resolve scheduling conflicts
- • Improve scheduling and job assignment processes to increase efficiency, throughput, and predictability of project delivery
- • Support the implementation of tools and systems designed to streamline resource planning, tracking, and reporting
- • Collaborate with Finance and project leaders on project budgeting, resource allocation, and financial forecasting
- • Monitor key performance indicators including utilization, realization, project profitability, and delivery timelines
- • Identify opportunities to improve margins, operational efficiency, and project outcomes through data-driven adjustments
- • Develop and maintain dashboards and reports for capacity, utilization, forecast vs. actual workload, and project performance
- • Translate operational data into clear, actionable insights for leadership to inform strategic workforce and resource decisions
- • Support the development of a centralized, reliable source of operational data to replace manual tracking and siloed reporting
- • Identify workflows that are manual, redundant, or inefficient and recommend process improvements to reduce administrative burden
- • Support the adoption and scaling of scheduling, planning, and reporting tools to accommodate firm growth and evolving needs
- • Partner with Operations, Finance, HR, and service line leaders to align workforce strategy with firm-wide goals
- • Help resolve resource constraints using data-informed solutions and practical recommendations
- • Mentor team members involved in scheduling, coordination, and resource planning to improve consistency and ownership
- • Drive outcomes including fewer last-minute staffing changes, improved project delivery rates, and higher team utilization
- • Enhance visibility into workforce capacity, workload distribution, and financial performance across all service lines
- • Foster cross-functional collaboration to ensure smoother project execution and reduced operational friction
🎯 Requirements
- • 5–8+ years in operations, resource management, project management, or workforce planning
- • Experience in a project-based or professional services environment preferred
- • Track record of improving processes and operational outcomes
- • Strong analytical and problem-solving skills with expertise in forecasting, capacity planning, and modeling
- • Advanced Excel skills including pivot tables, modeling, and complex analysis
- • Experience with reporting/BI tools such as Power BI or similar
