  • • As the Legal Intake & Administrative Assistant at Agent Inc., you will serve as the critical first point of contact for prospective clients, managing the entire intake pipeline with professionalism and empathy to ensure only qualified leads progress through the firm’s rigorous vetting process.
  • • Your role directly impacts the firm’s ability to deliver high-integrity legal representation by efficiently screening, organizing, and coordinating client inquiries, enabling attorneys to focus on complex litigation and advocacy.
  • • Day to day, you will conduct initial intake interviews to assess potential cases against the firm’s litigation criteria, ensuring accurate and timely screening of inquiries from professionals, entrepreneurs, and businesses.
  • • You will proactively follow up with leads via email and phone, applying a sales-minded approach to nurture prospects, build rapport, and guide them toward consultation scheduling while maintaining persistence without pressure.
  • • You will maintain and update the Clio Manage CRM with meticulous attention to detail, logging all communications, case notes, and follow-up tasks in real-time to ensure data integrity and seamless handoff to legal teams.
  • • You will manage the firm’s master calendar, coordinating consultations between high-priority prospects and attorneys, confirming appointments, sending reminders, and resolving scheduling conflicts with precision.
  • • You will monitor and prioritize the intake inbox, triaging urgent messages, drafting professional responses, and ensuring zero missed communications from clients or leads.
  • • You will organize and categorize digital files and preliminary evidence submitted by prospects, creating a structured, accessible system for attorney review and case preparation.
  • • You will provide general administrative support, including document preparation, data entry, and operational tasks, to keep the firm’s business functions running smoothly and efficiently.
  • • You will collaborate closely with attorneys and paralegals, anticipating their needs and adjusting workflows to support case readiness and client satisfaction.

🎯 Requirements

  • • Exceptional verbal and written English communication skills at C1/C2 level, with proven ability to engage empathetically and professionally with individuals in stressful legal situations.
  • • Minimum two years of experience in a client-facing role within a U.S. law firm, insurance company, or real estate firm, including administrative support, lead follow-up, and sales-oriented client engagement.
  • • Demonstrated sales mindset: comfort with persistent, persuasive follow-ups and the ability to articulate the firm’s value proposition to convert leads into consultations.
  • • Proficiency in Microsoft 365 Suite and ability to quickly learn and master legal-specific platforms such as Clio Manage CRM.
  • • Strong analytical thinking: ability to screen leads using defined litigation criteria, identify high-priority cases, and make sound judgments about case viability.
  • • Proactive, self-directed work style: proven ability to initiate tasks, manage multiple priorities independently, and anticipate needs without constant supervision.
