This fully remote role, based in Texas, offers a unique opportunity to manage and ensure compliance with all licensing and permitting requirements across our diverse operations.
  • As a key member of our compliance team, you will be instrumental in navigating the complex landscape of local, county, state, and federal regulations. Your primary responsibility will be the meticulous management of all new applications, renewals, amendments, transfers, and closures for our facilities. This involves conducting thorough jurisdictional research to identify the precise licenses and permits needed for each type of center, ensuring we meet all legal obligations.
  • You will establish and maintain a centralized, highly organized tracking system for all regulatory obligations, providing clear visibility of upcoming deadlines and ensuring 100% on-time completion of all filings and submissions. Maintaining comprehensive records of applications, approvals, and correspondence within approved systems will be crucial for audit readiness and adherence to the Company’s Record Retention & Destruction Policy.
  • A significant aspect of this role involves proactive regulatory monitoring. You will stay abreast of statutory and regulatory changes impacting pet care and veterinary operations, maintaining a detailed regulatory change log to assess portfolio-wide impacts. Identifying compliance gaps, potential risks of lapses, and agency enforcement exposure will be critical. You will promptly escalate any material risks, Notices of Violation, or enforcement concerns to Legal and Compliance leadership, classifying licensing obligations by risk tier to prioritize high-impact requirements.
  • The Inspection Lifecycle Management component of your role will involve tracking inspection schedules, outcomes, citations, and corrective action deadlines. You will maintain a centralized repository for inspection reports and agency correspondence, coordinating closely with Operations, Safety, and Facilities teams to ensure the timely completion of corrective actions. You will also support inspection readiness initiatives and pre-inspection review processes, ensuring our facilities are always prepared.
  • This position requires a strong aptitude for research and documentation. You will perform detailed regulatory research, which may involve sustained focus for extended work sessions. Documenting regulatory processes step-by-step is essential for workflow continuity and institutional knowledge retention. You will continuously refine and standardize workflows to minimize variability and risk, and maintain reusable templates, application libraries, and submission checklists.
  • You will provide essential Field Support and demonstrate Operational Responsiveness by managing incoming support tickets related to licensing and regulatory compliance. Participating in support calls with Center Managers, District Leaders, Project Managers, and DVMs, you will communicate clearly, professionally, and decisively with operational stakeholders. The ability to seamlessly shift between urgent field matters and long-term regulatory projects without compromising quality is paramount. You will maintain a service-oriented approach while upholding compliance standards.
  • Support will also be required for Mergers & Acquisitions (M&A) and Divestiture activities. This includes providing licensing diligence during acquisitions and divestitures, identifying licensing gaps, transfer requirements, and regulatory risk exposure. You will coordinate regulatory timelines and documentation during integration transitions, ensuring seamless licensing continuity during changes in ownership.
  • Cross-functional collaboration is key. You will partner effectively with Facilities, Operations, Finance, Vendor Management, and Legal teams, maintaining clear role boundaries while ensuring compliance outcomes are achieved. You will exercise authority to communicate directly with regulatory agencies when required and request necessary documentation from centers and departments to meet regulatory deadlines.
  • Proficiency in technology is expected, including advanced skills in Microsoft 365 (Excel, SharePoint, Outlook, Teams). Experience with compliance tracking systems like Agilence or similar platforms, and familiarity with DocuSign and Contract Lifecycle Management (CLM) systems are highly desirable. You will operate comfortably within digital workflow and document management systems and demonstrate the ability to use AI tools responsibly to streamline research and workflows while preserving data confidentiality and accuracy.
  • Your work style should exhibit exceptional organizational discipline, a strong control over deadlines, and the ability to work independently on complex regulatory research. You will maintain strong written documentation skills, demonstrate high responsiveness and accountability to field teams, and effectively balance deep-focus work with real-time operational demands. An ownership mindset is crucial – seeing tasks impacting pets, people, or regulatory standing through to completion is expected. A commitment to continuous improvement and operational excellence will drive your success.
  • Success in this role will be measured by achieving 100% on-time renewals, filings, and submissions; preventing compliance lapse-related closures; reducing emergency filings; documenting and standardizing workflows; maintaining clean, audit-ready records; reducing regulatory citations; ensuring seamless M&A licensing transitions; and demonstrating strong field satisfaction through responsiveness metrics.
