  • • As an ABA Scheduler at MeBe Family, you will play a pivotal role in ensuring the seamless delivery of evidence-based therapies to children with autism and other special needs. This remote position, based in California, is crucial for the operational success of our rapidly growing learning centers, providing essential administrative and scheduling support under the guidance of the Scheduling Manager and in collaboration with various off-site operations teams.
  • • Your primary responsibility will be to meticulously oversee and manage the scheduling processes for your assigned region(s). This involves the comprehensive management of schedules for all MeBe clients and services, encompassing ongoing scheduled therapy sessions, crucial assessments, make-up sessions, cancellations, and sub-session arrangements. The goal is to ensure that every client receives consistent and timely care while maximizing the utilization of both client authorizations and provider availability.
  • • A key aspect of your role will be to optimize provider schedules, ensuring efficient usage of their open availability and aligning it with client needs. This proactive approach helps maintain the integrity of client authorizations and prevents any lapse in service delivery. You will be instrumental in maximizing client authorizations by strategically scheduling services to align with their allocated benefits, ensuring that families receive the full support they are entitled to.
  • • You will be the first point of contact for managing daily operational flow, particularly in handling morning call-outs. This includes promptly addressing therapist absences, taking immediate action to find suitable coverage, and minimizing disruption to client therapy sessions. Your ability to react quickly and efficiently in these situations is paramount to maintaining client satisfaction and operational continuity.
  • • Contributing to the continuous improvement of our scheduling operations, you will assist in the production and delivery of ongoing reports. These reports will provide valuable insights into scheduling efficiency, service fulfillment rates, and potential areas for optimization. Your input will help shape future scheduling strategies and operational enhancements.
  • • Beyond scheduling, you will be entrusted with approving hourly employee time cards. This involves a thorough review of submitted hours, reconciling any discrepancies, and ensuring accurate payroll processing. Your attention to detail in this area is vital for maintaining trust and accuracy within the team.
  • • You will embody MeBe Family's commitment to concierge-level customer service in all your interactions. This extends to both our valued clients and our dedicated team members. You will manage the center's phone system, ensuring that all inquiries are handled professionally, efficiently, and with a compassionate approach.
  • • In the realm of client management, you will serve as a crucial initial contact point. You will field calls from potential new clients, gathering essential information and seamlessly transitioning them to our Family Success Team for further engagement. For existing clients seeking to expand their services, such as enrolling in after-school ABA, Speech, or OT programs, you will expertly gather the necessary details and forward them to the appropriate teams.
  • • Maintaining the integrity and accuracy of MeBe’s Electronic Health Record (EHR) system, CentralReach, will be a core function. This includes ensuring that staff and client records are consistently up-to-date, timesheets are meticulously completed, and any necessary staff corrections are addressed in a timely manner. Your diligence in EHR management is fundamental to our data accuracy and operational efficiency.
  • • Collaboration is key to our success. You will work closely and effectively with other MeBe Operational teams remotely, including IT, Authorizations, and Intake, to resolve any operational challenges and ensure a cohesive and supportive environment for our clients and staff.
