Reporting to the Senior Account Director (Experiential), you will be instrumental in the planning, design, production, and execution of partner activations throughout the Formula 1 2026 season. Your responsibilities will span key areas such as the Fanzone, Paddock, and Pit Lane, where you will take a lead onsite role in collaboration with our appointed Events & Production Agency. This position demands a strong background in account management, a comprehensive understanding of global event planning, and proven experience with large-scale consumer and VIP hospitality experiential activations.
  • **Client & Rights Holder Management:**
  • Serve as the primary point of contact for the client, cultivating and nurturing robust, long-term professional relationships built on trust and exceptional service.
  • Effectively manage and support relationships with key rights holders, diverse vendors, critical suppliers, partner agencies, and internal teams, ensuring seamless collaboration.
  • Provide essential liaison and project management support to local market clients, assisting them with the successful execution of their regional activations.
  • Develop a deep understanding of client objectives, specific needs, and expectations to ensure all event and hospitality deliverables not only meet but significantly exceed requirements.
  • Facilitate clear and consistent communication with all stakeholders, including the client, design teams, production agencies, rights holders, and internal departments, to guarantee adherence to all planning deadlines.
  • Build and maintain strong, productive relationships with Formula One and race promoters, ensuring that all deadlines, updates, and critical information are communicated and met with efficiency and accuracy.
  • Take responsibility for collating and distributing all Fanzone and Activation-related content to the respective parties in a timely and organized manner.
  • **Experiential Planning & Execution:**
  • Spearhead the planning and meticulous execution of large-scale consumer and VIP hospitality experiential activations at Grand Prix events globally, encompassing both on-track and off-track environments.
  • Act as the central point of contact and interface between the client, Formula 1/promoters, and the appointed Production Agency, ensuring clear communication and alignment.
  • Project manage the entire design and production lifecycle for the activation, working in close partnership with the appointed Design and Production Agency, from initial brief and concept design through to final build and successful delivery.
  • Coordinate effectively with a wide range of suppliers, rights holders, and race promoters to ensure smooth operational flow and seamless event delivery.
  • Manage and coordinate all team logistics, including travel arrangements, accommodation, and the organization of necessary access passes and accreditations.
  • Support the client and the Production Agency with all on-site accreditation requirements, ensuring all personnel have the necessary access.
  • Implement and maintain effective operational and communication systems and processes, ensuring strict adherence by all team members, utilizing tools such as detailed project plans and client status documents.
  • **Event Delivery & On-Site Management:**
  • Provide on-site support and expert guidance to the Production Agency throughout the build and de-rig phases of the event, as agreed upon.
  • Serve as the key on-site liaison between the client, rights holders (F1 & Promoters), the Production Agency, and Health & Safety teams, ensuring coordinated efforts.
  • Oversee the successful production build and breakdown of each event onsite, ensuring all activities are completed in line with strict deadlines.
  • Champion and ensure that all health and safety standards are rigorously maintained throughout the build, event operation, and breakdown phases.
  • Act as the primary point of escalation for any client, agency staff, or supplier issues that arise during the event, providing swift and effective resolution.
  • **Budget & Financial Management:**
  • Assist in the diligent management of event budgets, ensuring all expenditures align precisely with client expectations and contractual agreements.
  • Support the process of contract management, Purchase Order (PO) creation, and financial reconciliation with vendors and suppliers.
  • Meticulously track and manage all costs associated with events and activations, ensuring budgets remain up-to-date and flagging any potential issues proactively.
