• • As an Accounting & Finance Specialist at ACT360, you will be the linchpin of our financial operations, taking complete ownership of the entire financial lifecycle of a rapidly growing technology services provider. This is a unique opportunity to not only manage day-to-day financial tasks but also to strategically shape and improve our financial infrastructure, introducing automation and robust controls that will support our ambitious growth trajectory.
• • Your primary responsibility will be to meticulously manage all client billing, ensuring absolute accuracy for both services rendered and any purchased items. This includes the critical task of cross-checking subscription-based billing, such as Office 365, and proactively resolving any discrepancies that may arise, safeguarding revenue streams.
• • You will be instrumental in managing accounts receivable, which involves diligently following up on overdue payments to maintain healthy cash flow and minimize financial risk. This requires a proactive and organized approach to collections.
• • The role extends to the efficient processing of vendor bills, employee reimbursements, credit card charges, and refunds. Precision and adherence to company policies will be paramount in these tasks.
• • A key aspect of your role will involve the precise ordering and tracking of parts and software. You will be responsible for ensuring that the correct vendors are utilized and that delivery logistics are managed effectively, contributing to operational efficiency and cost control.
• • You will play a vital role in maintaining and nurturing vendor relationships, with a focus on negotiating improved terms and conditions that benefit ACT360, thereby enhancing our profitability and operational leverage.
• • A core duty will be the monthly reconciliation of all accounts, including bank statements, credit card statements, and vendor accounts. This ensures the integrity and accuracy of our financial records.
• • You will be responsible for delivering crucial financial reports, including monthly cash flow forecasts extending 60 days into the future, comprehensive profitability reports, and accurate Profit and Loss (P&L) statements. These reports will provide vital insights for strategic decision-making.
• • Maintaining and auditing client contracts and associated paperwork will be essential to ensure compliance and accurate financial tracking.
• • A significant part of this role involves the implementation of automated workflows for both billing processes and financial reporting. This initiative will drive efficiency, reduce manual errors, and free up valuable time for more strategic financial analysis.
• • You will be tasked with evaluating our current financial systems and potentially leading platform migrations, for example, transitioning from Xero to QuickBooks. This requires a strategic understanding of financial software and the ability to manage complex system changes.
