- • As an Accounts Payable & Vendor Management Officer at TwoConnect LLC, you will be instrumental in ensuring the smooth and efficient operation of our financial processes, specifically focusing on the end-to-end management of accounts payable and vendor relationships. This critical role supports the Senior Accountant by maintaining meticulous records, ensuring timely and accurate supplier payments, and upholding robust internal controls. You will be the primary point of contact for vendor inquiries and will play a key part in maintaining strong, compliant, and productive supplier partnerships.
- • Your responsibilities will encompass the entire vendor lifecycle, starting with comprehensive vetting. This includes verifying essential documentation such as ABN details, conducting insurance checks, and ensuring all compliance requirements are met before a vendor is onboarded. You will manage the intake and processing of supplier onboarding forms, meticulously maintaining accurate and up-to-date vendor data within Xero and any associated systems. This diligence is crucial for preventing payment errors and ensuring compliance.
- • A significant part of your role will involve the detailed processing of accounts payable. You will be responsible for accurately coding and matching incoming invoices to corresponding purchase orders within Xero. When necessary, you will create purchase orders and raise bills, ensuring correct allocation to specific jobs, cost centers, and overheads. You will actively manage the AP inbox, monitor unapproved bills, and oversee the approval workflows that integrate Smartsheet and Xero, ensuring a streamlined and transparent process.
- • Investigating and resolving discrepancies in invoices will be a key task, requiring a keen eye for detail and proactive problem-solving skills to ensure timely processing and payment. You will also be responsible for reviewing and reconciling supplier and subcontractor statements, proactively identifying and addressing any pricing, payment, or invoice-related issues to maintain positive vendor relationships and financial accuracy.
- • Preparing and executing regular payment runs will be a core duty, ensuring that all supplier payments are made accurately and on time, in strict accordance with agreed payment terms and internal approval limits. This requires careful planning and execution to maintain cash flow and vendor satisfaction.
- • The role also extends to managing corporate credit card transactions. You will review and process credit card receipts submitted via Dext, accurately coding these transactions within Xero. A crucial aspect of this is reconciling card bank feeds, diligently following up on any missing receipts, and assisting with the monthly credit card payments. You will also process job-related credit card transactions in BT and Xero, ensuring proper PO matching for accurate job costing.
- • You will play a vital role in financial controls and reporting by reconciling the AP subledger to the general ledger, ensuring the accuracy and integrity of our financial statements. Furthermore, you will provide essential support during audits, help maintain compliance with internal controls, and undertake various ad-hoc finance tasks as required, demonstrating flexibility and a broad understanding of financial operations.
