  • • Are you a seasoned expert in Applicant Tracking Systems (ATS), with a particular passion for unlocking the full potential of Ashby? Quartermaster is embarking on a critical phase of optimizing our recently implemented Ashby ATS, and we're searching for a dedicated Ashby ATS Specialist to be our guiding force. This role is tailor-made for an individual who possesses deep, hands-on experience with Ashby, capable of not only identifying areas for improvement but also implementing practical solutions that drive significant enhancements in our recruiting operations.
  • • Our Ashby ATS was implemented approximately six months ago, and while it has provided a foundational platform for our recruitment efforts, we recognize that there's substantial opportunity to refine its capabilities. We are seeking an experienced professional who can step in, assess our current setup, and provide both strategic direction and hands-on support to elevate our system's performance. Your expertise will be instrumental in ensuring that Ashby is not just a tool, but a powerful engine driving efficiency, streamlining workflows, and improving the overall user experience for our recruiting team and candidates alike.
  • • As an Ashby ATS Specialist, your primary mission will be to meticulously optimize existing processes within the system. This involves a thorough review of how Ashby is currently being utilized, identifying any bottlenecks, inefficiencies, or underutilized features. You will be tasked with ensuring that the ATS is fully and effectively supporting all facets of our recruiting operations, from initial candidate sourcing and application management to interview scheduling, offer generation, and onboarding. Your insights will help us bridge any operational gaps that may have emerged post-implementation, ensuring a seamless and robust recruitment lifecycle.
  • • A significant part of your role will involve providing ongoing guidance and support to our internal teams. This means acting as a subject matter expert, educating users on best practices, and troubleshooting any issues that arise. You will be a key resource for our recruiters, hiring managers, and anyone else interacting with Ashby, empowering them to leverage the system to its fullest potential. Your ability to translate technical ATS functionalities into practical, actionable advice will be highly valued.
  • • Furthermore, you will be responsible for recommending and implementing best practices to enhance system efficiency and user experience. This could involve configuring new workflows, setting up advanced search filters, optimizing reporting dashboards, or exploring integrations with other tools. You'll have the opportunity to shape how Ashby functions within Quartermaster, making data-driven recommendations based on your extensive knowledge of ATS capabilities and recruitment operations.
  • • We are looking for someone who can proactively identify opportunities for automation within our recruitment processes. This might include automating candidate communications, streamlining interview scheduling, or setting up automated workflows for background checks and offer approvals. By leveraging Ashby's automation features, you will help us reduce manual effort, minimize errors, and accelerate our time-to-hire.
  • • Your role will also extend to ensuring data integrity and generating insightful reports. You will help us establish clear data entry standards and implement processes to maintain the accuracy and completeness of candidate information within Ashby. Additionally, you will work on developing and refining reporting dashboards to provide our leadership team with clear, actionable insights into our recruitment pipeline, key performance indicators (KPIs), and overall recruiting effectiveness.
  • • This is a part-time role, requiring up to 5 hours per week, with the flexibility to provide additional support as needed. We understand that deep expertise is valuable, and we are committed to providing you with the autonomy and resources to make a tangible impact. You will work closely with our recruiting and operations teams, collaborating to achieve our shared goals of building a high-performing recruitment function.
  • • Ultimately, your contribution will be pivotal in transforming our Ashby ATS from a functional system into a strategic asset. You will play a crucial role in enhancing our ability to attract, engage, and hire top talent, directly contributing to Quartermaster's growth and success. If you are passionate about ATS optimization, possess a deep understanding of Ashby, and thrive on solving complex operational challenges, we encourage you to apply.

🎯 Requirements

  • • Proven, hands-on expertise specifically with the Ashby Applicant Tracking System, including configuration, administration, and workflow optimization.
  • • Demonstrated experience in assessing and improving ATS processes to enhance recruiting operations efficiency and user experience.
  • • Strong understanding of recruitment lifecycle best practices and how ATS functionalities can support them.
  • • Ability to provide both strategic recommendations and practical, hands-on implementation support.
  • • Excellent communication and training skills, with the ability to explain technical concepts to non-technical users.
  • • Proactive and problem-solving mindset, with a keen eye for detail and a commitment to data integrity.

🏖️ Benefits

  • • Flexible part-time engagement with up to 5 hours per week, offering excellent work-life balance.
  • • Opportunity to make a significant impact on a recently implemented ATS and shape recruitment operations.
  • • Work remotely from anywhere in the United States.
  • • Collaborate with a dedicated and growing team focused on operational excellence.
  • • Gain exposure to diverse recruiting challenges and contribute to Quartermaster's strategic growth.
