đź“‹ Description
- • The Billing/Scheduling Associate I (Remote) role at Washington University in St. Louis is a critical frontline position supporting ophthalmology patient access by managing insurance verification, referral coordination, and appointment scheduling — all conducted remotely with no direct patient contact. This role ensures seamless patient flow into care by acting as a liaison between patients, clinical staff, and third-party payers, directly contributing to timely access to specialized eye care services.
- • Day-to-day responsibilities include obtaining and verifying patient insurance information over the phone or email, counseling patients on financial assistance options, and coordinating with physicians and clinical staff to schedule urgent or referred appointments. The associate reviews and updates patient schedules for new arrivals, places appointment reminder calls, and explains billing processes to patients and payers while resolving routine inquiries. They also assist with sending reminder cards, maintaining basic account records, utilizing the Relatient patient reminder system to contact patients or adjust schedules, and collaborating with team members to resolve simple operational issues.
- • The role is based within Washington University’s Department of Ophthalmology, part of a world-renowned academic medical center committed to excellence in patient care, research, and education. Though the work is performed remotely, the position requires initial in-person training on the Medical School campus to ensure familiarity with systems, protocols, and university standards. The team operates in a supportive, mission-driven environment where precision, empathy, and communication are valued.
- • In this role, the associate will develop strong interpersonal and administrative skills in a healthcare setting, gain hands-on experience with medical billing systems and insurance workflows, and build foundational knowledge of ophthalmology practice operations. Success in this position can serve as a stepping stone to advanced roles in medical administration, patient access coordination, or healthcare operations within WashU or the broader health sector.

- • High school diploma or equivalent (GED) or combination of education and/or experience
- • Preferred: One year of experience in billing systems, third-party claims, or a medical office setting, along with related customer service experience
