  • • Serve as the primary bookkeeping contact for a portfolio of at least 10 veterinary practice clients nationwide, maintaining consistent, professional, and responsive communication.
  • • Respond to all client inquiries within 24 hours, providing proactive updates and clear timelines for follow-up to ensure exceptional client service.
  • • Build and sustain strong client relationships through consultative support, professionalism, and reliability in all interactions.
  • • Participate in quarterly client conversations focused on operational and financial performance, offering insights based on financial reporting.
  • • Perform full-service bookkeeping using QuickBooks Online (QBO), including ongoing account maintenance, reconciliations, and month-end close processes.
  • • Complete monthly reconciliations for bank accounts, credit cards, loans, payroll, and related financial accounts with high accuracy and timeliness.
  • • Prepare and finalize comprehensive monthly financial reporting packages and supporting documentation for each client.
  • • Ensure all month-end reporting is delivered by the 15th of each month, contingent upon timely receipt of client-submitted data.
  • • Review and resolve outstanding “Ask My Accountant” balances and bookkeeping discrepancies prior to finalizing client reports.
  • • Assist with onboarding new veterinary practice clients, including QuickBooks Online setup, chart of accounts implementation, account linking, integrations, and initial bookkeeping cleanup.
  • • Participate in client onboarding meetings and ensure all required documentation, access requests, and system configurations are completed accurately and on schedule.
  • • Utilize workflow systems to manage bookkeeping deliverables, review checkpoints, and reporting deadlines across multiple client accounts.
  • • Maintain organized digital documentation, standardized reporting templates, and financial records to ensure consistency and audit readiness.
  • • Collaborate with leadership and team members to identify opportunities for improving efficiency, consistency, and client experience within the bookkeeping division.
  • • Attend weekly team meetings, training sessions, and monthly webinars to stay aligned with firm standards and process updates.
  • • Escalate workflow concerns, capacity challenges, or client-specific issues proactively to leadership for timely resolution.
  • • Work independently in a fully remote, high-accountability environment with minimal supervision while maintaining strict adherence to deadlines and quality standards.
  • • Demonstrate strong attention to detail, organizational skills, and commitment to accuracy in all financial tasks and client communications.
  • • Embrace a client-service-oriented mindset with professionalism, responsiveness, and a solutions-focused approach to problem-solving.

🎯 Requirements

  • • 2+ years of bookkeeping, accounting support, or outsourced accounting experience
  • • Strong proficiency in QuickBooks Online (QBO)
  • • Experience with financial reporting, reconciliations, and month-end close processes
  • • Strong organizational and time-management skills to manage multiple client relationships simultaneously
  • • Excellent written and verbal communication skills
  • • Ability to work independently in a fully remote, high-accountability environment
