- • Athena Actuarial Consulting is a dynamic and mission-driven professional services firm dedicated to serving a diverse clientele across federal, state, and local government sectors, alongside select commercial entities. As our business development endeavors continue to flourish and expand, we are actively seeking a highly organized and proactive Business Development Coordinator to significantly support and fortify our BD operations. This role presents an exceptional opportunity to contribute across multiple facets of our business development department, playing a crucial role in supporting sales initiatives and proposal development.
- • Reporting directly to the Chief Strategy Officer (CSO), this position is fundamentally centered on execution, meticulous coordination, and the continuous enhancement of our processes related to lead generation, proposal management, pipeline tracking, and overall pursuit operations. You will be instrumental in supporting pre-capture activities, actively contributing to ongoing pursuits, diligently managing our Customer Relationship Management (CRM) system in close collaboration with our marketing colleagues, and working seamlessly with internal leaders and external partners throughout our comprehensive BD processes.
- • Whether your tasks involve crafting compelling pitch decks, meticulously managing proposal deadlines, or collaborating closely with our marketing team on impactful marketing campaigns, this role is ideally suited for an individual who excels in a fast-paced environment, possesses a natural ability to bring structure to complex situations, demonstrates strong critical thinking skills, and is genuinely energized by meaningful, collaborative work that drives tangible results.
- • Key Responsibilities will encompass a broad range of critical functions:
- • **Proposal & Pursuit Coordination:** You will be responsible for managing proposal timelines, calendars, and all submission logistics across various pursuits. This includes ensuring the proper use of templates, managing formatting requirements, and overseeing content assembly. You will coordinate effectively with cross-functional contributors to ensure timely and high-quality submissions, draft and assemble proposal content (working closely with Subject Matter Expert writers), manage review cycles, and maintain rigorous version control. A significant part of this role involves maintaining and improving our existing proposal templates, content libraries, and past performance materials. Furthermore, you will provide essential support for pursuits involving GSA Schedule usage and applications, including OASIS, as required.
- • **CRM, Pipeline & Follow-Up Management:** You will be the custodian of the firm's CRM system, ensuring that all opportunities, contacts, and pursuit data are accurate, up-to-date, and reflect the current state of our business development efforts. This includes meticulously tracking lead and pipeline activity, monitoring next steps, and ensuring consistent follow-up to guarantee smooth execution of our BD strategies. You will prepare comprehensive pipeline and pursuit reports for leadership review, and support account follow-ups and the tracking of key pursuit metrics. Additionally, you will regularly review various proposal subscription services to identify future and active bid opportunities.
- • **BD Operations Support:** You will provide direct support to the CSO with the day-to-day operations of the business development and sales functions. This includes assisting in the preparation of pitch decks, crucial pursuit materials, and the scheduling of important client meetings. You will proactively identify opportunities to streamline existing BD processes and enhance the effectiveness of our tools, templates, and workflows. A key aspect of this role is to help implement and reinforce consistent BD practices as the department continues to grow. You will be expected to adjust priorities as needed to support both long-term strategic goals and urgent, quick-turn opportunities. Close coordination with the CSO and the marketing team on campaigns and activities will be essential.

🎯 Requirements
- • 3-5 years of experience in business development coordination, proposal operations, sales operations, or a closely related field.
- • Proven experience supporting complex proposals, with a preference for those within public-sector or professional services environments.
- • Hands-on experience managing and utilizing CRM systems (e.g., HubSpot, Salesforce, or similar).
- • Strong organizational and project management skills, with exceptional attention to detail and the ability to manage multiple deadlines and shifting priorities effectively.
- • Clear and concise written and verbal communication skills, with the ability to articulate complex information effectively.
- • Proactive mindset with a demonstrated ability to identify areas for improvement, suggest solutions, and operate with a degree of independence.
