Full Job Description
📋 Description
- • As the Chief of Staff at Optimum and Southwest Women’s Oncology (SWWO) in Albuquerque, New Mexico, you will serve as a critical strategic partner and force multiplier for the CEO, operating at the intersection of precision performance and profound compassion. This role is designed for an individual who thrives in a high-octane, results-driven environment, possessing an exceptional ability to anticipate needs, eliminate friction, and amplify the CEO’s impact across two distinct yet complementary organizations.
- • You will be instrumental in driving strategic initiatives, ensuring operational excellence, and enhancing organizational effectiveness. Your primary responsibility will be to act as an extension of the CEO, bringing clarity to complex challenges, structure to dynamic situations, and foresight to critical decision-making. This requires a unique blend of strategic thinking, meticulous execution, and a high degree of emotional intelligence.
- • In the realm of Strategic Communication and Executive Presence, you will be the primary conduit for high-impact internal and external communications. This involves triaging, prioritizing, drafting, and refining correspondence in the CEO’s distinct voice, ensuring unwavering clarity, consistency, and strategic alignment. You will prepare sophisticated executive-level briefs, pre-reads, talking points, and decision-ready summaries for a diverse range of stakeholders, including leadership teams, the board of directors, and external partners. A key aspect of this function is acting as a trusted thought partner to the CEO, actively pressure-testing ideas, sharpening narratives, and ensuring that all communications land with maximum impact. You will also represent the CEO in key meetings and manage follow-ups, ensuring continuity, alignment, and sustained momentum on critical issues.
- • Operationally, you will own the executive operating cadence, meticulously tracking strategic initiatives, deadlines, dependencies, and outcomes across the entire organization. You will drive critical cross-functional initiatives from their inception through to successful execution, fostering a culture of accountability, progress, and tangible results. Your role will involve proactively identifying potential risks, bottlenecks, and emerging opportunities, serving as the CEO’s vigilant ‘eyes and ears’ across the business. Ensuring that leaders and teams consistently deliver on their commitments to the CEO will be paramount, requiring disciplined follow-through and clear ownership. A core function is translating high-level strategy into actionable plans, defining clear milestones, and establishing measurable metrics for success.
- • In terms of Systems, Processes, and Organizational Effectiveness, you will be responsible for designing, implementing, and continuously refining systems that enhance the CEO’s personal effectiveness and the organization’s overall operational clarity. This includes building scalable workflows, standardized templates, and robust decision frameworks that accelerate speed, improve quality, and ensure consistency in execution. You will establish and maintain rigorous documentation practices for key initiatives, agreements, strategic plans, and operating processes. Your ability to create structure in fast-moving, often ambiguous environments will be crucial, bringing order, prioritization, and sharp focus to complex undertakings. You will collaborate closely with organizational leaders to optimize how work is accomplished across the company.
- • Regarding Meetings, Leadership Rhythm, and Board Support, you will meticulously manage the executive meeting cadence. This encompasses agenda setting, preparing comprehensive pre-reads, providing facilitation support, documenting key decisions and action items, and ensuring timely follow-ups. Your focus will be on ensuring that meetings drive concrete outcomes rather than mere discussion, by rigorously tracking decisions, actions, and accountability. You will play a pivotal role in planning and executing leadership offsites, strategic planning sessions, and other key executive events. Furthermore, you will lead the preparation of all board materials, including narrative development, presentation decks, agendas, minutes, and decision documentation. You will act as the essential connective tissue between the CEO, the executive team, and the board, fostering alignment, ensuring clarity, and maintaining strategic momentum.
- • This role demands an individual who is not merely an administrator but a strategic advisor, adept at navigating complex organizational dynamics and driving significant business impact. You are someone who thrives on challenge, embraces accountability, and is committed to the highest standards of professionalism and discretion.
🎯 Requirements
- • Minimum of 5 years of experience supporting senior executives in fast-paced, high-growth, or high-performance environments.
- • Proven track record of operating as a strategic partner, demonstrating the ability to influence and drive outcomes beyond administrative support.
- • Exceptional organizational, prioritization, and time management skills, with a demonstrated ability to manage multiple complex projects simultaneously.
- • Outstanding written and verbal communication skills, with the ability to articulate complex ideas clearly and concisely, and to adapt communication style to different audiences.
- • Strong business acumen, with the ability to quickly understand business objectives, distill complex information into actionable insights, and contribute to strategic discussions.
- • High proficiency in Google Suite, Asana, Notion, or similar project management and productivity tools.
- • Unwavering discretion, sound judgment, and a high level of professionalism in handling sensitive and confidential information.
- • A proactive, solution-oriented mindset coupled with strong critical thinking and problem-solving skills.
- • Experience in healthcare, wellness, or other high-performance organizational settings is highly desirable.
- • Experience supporting senior executives within luxury brands or ultra-high-net-worth (UHNW) environments is a plus, demonstrating exceptional service orientation and comfort operating at the highest standards of professionalism.
🏖️ Benefits
- • Competitive salary commensurate with experience and demonstrated value.
- • Leadership bonuses tied to organizational performance and strategic goal achievement.
- • Comprehensive health and wellness coverage for employees.
