- • Astreya Partners, Inc. is seeking a detail-oriented and proactive Contracts Administrator II to join our dynamic team. This pivotal role is responsible for ensuring the seamless and accurate execution of all contracts, encompassing both vendor and client agreements. The successful candidate will play a crucial role in maintaining contractual integrity, minimizing risk through rigorous quality reviews, and fostering collaborative relationships with various internal teams.
- • As a Contracts Administrator II, you will apply established company policies and procedures to navigate and resolve a wide spectrum of contractual issues. Your work will involve tackling problems of moderate scope, requiring you to exercise sound judgment within defined frameworks. While you will receive general guidance on routine tasks, you can expect detailed instructions and support for new and complex projects, enabling your professional growth and contribution.
- • Your primary responsibilities will include the meticulous processing of contracts in strict adherence to client policies. This involves managing the entire lifecycle of contractual documents, from initial preparation and negotiation through to execution and archiving.
- • You will actively participate in the preparation and processing of service termination agreements, ensuring all necessary amendments are correctly drafted and executed to facilitate a smooth transition.
- • A key aspect of this role is the maintenance of an internal database, where you will meticulously record and manage all pertinent contract information, including critical legal documents, amendments, and correspondence. This database will serve as the central repository for all contractual data, ensuring accessibility and accuracy.
- • You will be instrumental in the preparation and revision of contracts related to the purchase and sale of goods and services. This requires a keen understanding of commercial terms, legal implications, and the ability to translate business needs into clear, actionable contractual language.
- • The role also extends to managing the acquisition, distribution, and secure storage of equipment and supplies, ensuring that all related contractual obligations are met and that inventory management is efficient and compliant.
- • You will be responsible for the proper disposal of unclaimed property, adhering to all legal and company regulations to ensure compliance and mitigate any potential liabilities.
- • Participation in proposal planning and the overall administration of contracts is a significant component of this position. You will contribute to the strategic planning of contract terms and ensure ongoing compliance throughout the contract period.
- • Preparing concise yet comprehensive contract briefs and revisions will be a regular duty. These documents will summarize key contractual requirements, deliverables, timelines, and associated budgets, providing clarity to all stakeholders.
- • You will diligently track all authorizations and correspondence related to contracts, maintaining detailed, organized, and easily retrievable files that serve as a complete audit trail.
- • A critical function involves preparing contract change notices and meticulously monitoring contractor performance. This includes tracking and reporting on the status of both contractor and owner deliverables, ensuring that all parties meet their contractual obligations.
- • You will maintain a dedicated audit file for each contract, which will serve as a comprehensive record. This file will contain the original contract, all subsequent correspondence, records of changes and deviations, amendments, clarifications, and payment schedules, ensuring transparency and accountability.
- • Performing closing activities for contracts as needed, ensuring all post-execution requirements are met and that contracts are formally closed out in accordance with company procedures.
- • Proactive tracking of payments and critical deadlines is essential to prevent any breaches or missed opportunities, ensuring financial and operational continuity.
- • A significant part of your role will involve analyzing potential risks associated with contracts and developing strategies to mitigate them, thereby protecting the company's interests.
