- • As a Community Manager Virtual Assistant (VA), you will be instrumental in supporting a dedicated Community Manager, ensuring the smooth and efficient operation of various community accounts. Your role will be multifaceted, encompassing direct client communication, administrative task management, and proactive problem-solving. You will act as a crucial liaison between Boards of Directors, homeowners, vendors, and internal departments, upholding the highest standards of professionalism and service.
- • *Key Responsibilities and Scope of Services:**
- • **Direct Account Management and Communication:** You will be responsible for directly managing a portfolio of assigned community accounts. This involves cultivating strong working relationships with Boards of Directors, understanding their needs, and effectively communicating on their behalf. Your ability to represent the client professionally and efficiently will be paramount.
- • **Administrative Excellence:** This role demands exceptional administrative skills. You will be tasked with producing work orders and service requests, meticulously ensuring they align with established policies and procedures. Your attention to detail will be critical in processing requests accurately and efficiently.
- • **Homeowner and Vendor Coordination:** A significant part of your role will involve coordinating access for service providers to complete necessary repairs and maintenance. You will also be responsible for collecting and processing Architectural Review Committee (ARC) requests, ensuring compliance with community guidelines. Furthermore, you will manage the sending of invoices to Accounts Payable departments, maintaining financial accuracy and timeliness.
- • **Community Engagement and Support:** You will monitor and process clubhouse reservations, ensuring availability and proper booking procedures are followed. Your proactive approach will extend to assisting with special projects as requested by senior management, such as the Regional Vice President or Regional Director, contributing to broader organizational goals.
- • **Effective Communication and Documentation:** You will draft, proofread, and send essential communications to boards and communities, including impactful Eblasts distributed through specialized software. Preparing for Board meetings and Annual Meetings will be a core function, involving the tracking and organization of meeting proxies and ballots. You will also be responsible for scheduling and setting up conference room meetings, ensuring all logistical aspects are handled seamlessly.
- • **Information Management and Maintenance:** Maintaining accurate and up-to-date community contact lists for Associations is vital. You will build and nurture productive relationships with other departments within the company, fostering a collaborative work environment. A key responsibility will be utilizing and navigating the Vantaca platform, entering and responding to Action Items assigned to the Community Manager (CM) and Assistant Community Manager (ACM) roles. You will also be responsible for posting documents and maintaining critical information within Vantaca, such as owner contact details and additional relevant information.
- • **Inbound Correspondence Management:** You will diligently monitor and respond to email correspondence received for both personal and regional inboxes, ensuring timely and professional communication with all stakeholders.
- • **Adherence to Standards:** Each engagement operates under a defined scope of work and an independent contractor agreement. You are expected to perform all services professionally, strictly adhering to all timelines, guidelines, and deliverables agreed upon in writing. This commitment to excellence ensures client satisfaction and operational efficiency.

- • *Work Schedule:**
- • **Contracted Hours:** 40 hours per week.
- • **Scheduled Working Days:** Monday through Friday.
- • **Daily Working Time:** 8 AM to 5 PM EST. (Note: The Company will make reasonable efforts to align the Assigned VA's schedule with the Client's preferred hours. However, availability may vary based on time zones, capacity, and the contracted hours set in the Statement of Work. Any changes must be mutually agreed to in writing through a revised SOW.)
- • *Terms of Engagement:**
- • Contractors will operate under a Master Services Agreement and a Statement of Work. This is an independent contractor role; you are not an employee of 20four7VA or any client. All compensation is processed through 20four7VA according to the terms of the engagement.
