• As an Operations Specialist, you will be instrumental in partnering closely with our senior leadership team to ensure the seamless day-to-day execution of our business operations. This is a dynamic, in-office role based in the Bay Area, California, offering a unique blend of executive support, critical business operations management, and strategic offsite planning and execution.
• You will provide high-level, comprehensive executive support to our senior leaders. This includes meticulous calendar management, scheduling and coordinating internal and external meetings, and arranging complex domestic and international travel logistics. Your proactive approach will ensure our leadership team can focus on strategic initiatives without being bogged down by administrative tasks.
• Take ownership of the day-to-day operational workflows that are essential for the company's efficient functioning. This involves identifying bottlenecks, implementing process improvements, and ensuring that all operational aspects of the business run smoothly and effectively.
• You will be the go-to person for tracking leadership priorities, key performance indicators (KPIs), and critical action items. This requires a keen eye for detail and the ability to synthesize information from various sources to provide clear updates and ensure accountability across the organization.
• Support and streamline our hiring operations, from initial candidate coordination to seamless onboarding processes. You will work closely with the recruitment team to ensure a positive candidate experience and efficient integration of new hires into the company culture.
• Play a key role in maintaining our internal documentation, policies, and operating cadences. This involves organizing and updating critical information, ensuring accessibility, and contributing to the development of robust internal processes that support our growth.
• Collaborate closely with our HR and Finance departments on a variety of essential functions. This includes managing vendor relationships, providing accurate payroll inputs, assisting with accounts payable and receivable processes, and ensuring compliance with relevant regulations.
• Spearhead the planning and execution of leadership and company offsites from conception to completion. This demanding but rewarding responsibility involves budget management, venue selection, agenda development, logistical coordination, and ensuring these events are impactful and successful in fostering team cohesion and strategic alignment.
• Provide critical support for ad-hoc strategic and operational projects as the business continues its rapid scaling. This requires adaptability, a problem-solving mindset, and the willingness to dive into new challenges to drive business objectives forward.

🎯 Requirements

• Minimum of 3 years of experience in a similar role, such as an Executive Assistant, Operations Specialist, or a related position within a startup or similarly fast-paced environment.
• Proven experience supporting senior executives, particularly in high-growth technology companies, demonstrating an understanding of their needs and the demands of such roles.
• Demonstrated comfort working with ambiguity and adapting to rapidly shifting priorities, with the ability to maintain effectiveness and composure under pressure.
• Exceptional organizational skills, strong written and verbal communication abilities, and sound judgment in decision-making and problem-solving.
