Serve Robotics, a leader in reimagining urban mobility with our personable sidewalk robots, is seeking a dynamic Events & Media Producer to join our growing team. This is a unique opportunity to play a pivotal role in the end-to-end operational delivery of exciting advertising campaigns and impactful event activations, transforming our vision into tangible, successful experiences.
  • • As an Events & Media Producer at Serve Robotics, you will be the central orchestrator, ensuring that once a contract is signed, every detail of our client engagements is meticulously planned and flawlessly executed. You will bridge the crucial gap between our clients' visions and our operational capabilities, working collaboratively with a diverse range of internal teams including Operations, Partnerships, Hardware, Finance, and Legal, as well as external partners and event venues. Your primary objective will be to ensure every media campaign and event runs smoothly, on time, and precisely to specification, leaving a lasting positive impression.
  • • Your responsibilities will span the entire lifecycle of an event or campaign. You will be instrumental in driving full-cycle execution, meticulously aligning all deliverables, timelines, and workstreams across both internal and external stakeholders. This involves proactive planning, diligent tracking, and effective communication to ensure everyone is aligned and working towards a common goal. A key aspect of this role is managing and tracking event and campaign budgets with a keen eye for cost discipline. You will be responsible for maintaining financial control, identifying potential risks early, and ensuring all activations are delivered within budget, maximizing value and efficiency.
  • • Logistical coordination will be a significant part of your day-to-day. You will own the intricate details of robot shipment, scheduling, wrapping, creative collateral, merchandise, and all onsite needs for each activation. This requires a high level of attention to detail and the ability to anticipate and solve logistical challenges before they arise. You will ensure that event teams are equipped with clear, comprehensive Statements of Work (SOWs) and that expectations are effectively communicated to clients and internal partners, fostering an environment of seamless execution and mutual understanding.
  • • Furthermore, you will be responsible for sourcing, scheduling, and coordinating the necessary staffing for events, whether it involves leveraging our internal leads or engaging external vendors. Your ability to identify the right talent and manage their deployment will be critical to the success of each activation. Travel arrangements for all event personnel and partners will also fall under your purview, where you will be tasked with optimizing for both cost and efficiency, ensuring smooth travel experiences for everyone involved.
  • • Navigating regulatory landscapes is another vital component of this role. You will work closely with our Policy teams to secure all required permits for each venue or jurisdiction, ensuring compliance and avoiding any potential roadblocks. In parallel, you will partner with our Legal department to obtain necessary Certificates of Insurance (COIs) and ensure all contracts, venue agreements, and compliance documents are in place and up-to-date. This proactive approach to compliance is essential for protecting Serve Robotics and ensuring successful event execution.
  • • Upon completion of each event or campaign, you will be responsible for delivering comprehensive post-event and post-campaign reporting. This includes providing detailed performance summaries, highlighting key learnings, and conducting thorough financial reconciliation. Your insights will be invaluable in shaping future strategies and continuously improving our event and media activation processes.
