- • As an Executive Assistant at Optro Inc., you will serve as a critical force multiplier for executive leadership, enabling seamless operations in a high-growth SaaS environment by managing complex schedules, coordinating strategic initiatives, and ensuring executives can focus on high-impact priorities. Your role is pivotal in maintaining organizational efficiency and supporting the company’s mission to deliver leading audit, risk, ESG, and InfoSec solutions to Fortune 500 clients.
- • You will manage multiple complex calendars for executives, ensuring optimal time allocation by proactively resolving conflicts, preparing pre-reads and agendas, and facilitating timely access to meeting materials, directly contributing to strategic decision-making and operational clarity.
- • You will orchestrate domestic and international travel logistics with precision, minimizing disruptions while maximizing executive efficiency, including coordinating flights, accommodations, visas, and itineraries tailored to business needs and personal preferences.
- • You will own the end-to-end planning and execution of team gatherings—both virtual and in-person—including offsites, team-building events, and celebrations, delivering high-touch experiences that reinforce company culture and foster connection across distributed teams.
- • You will attend staff meetings, take detailed notes, track action items, and drive follow-up to completion within prescribed timelines, ensuring accountability and continuity across leadership initiatives.
- • You will support the preparation and refinement of slide decks, special projects, and executive communications, leveraging strong writing and design sensibilities to enhance clarity, impact, and professionalism.
- • You will proactively identify opportunities to streamline processes, reduce administrative friction, and enhance business operations through initiative-taking, process optimization, and cross-functional collaboration.
- • You will manage expense tracking and reporting in strict compliance with company policy, ensuring accuracy, timeliness, and adherence to financial controls.
- • You will be available for occasional on-call or after-hours support to accommodate global business needs, demonstrating flexibility and commitment to executive partnership.

🎯 Requirements
- • Minimum of 5 years of experience providing executive administrative support in a fast-paced, dynamic business environment
- • Proven ability to manage complex calendars, coordinate domestic and international travel, and execute high-impact offsites and team events
- • Proficiency with Google Suite (Gmail, Calendar, Drive, Docs, Sheets), Slack, and Zoom, with demonstrated skill in document creation, collaboration, and virtual meeting facilitation
- • Strong project management skills, exceptional attention to detail, and the ability to handle competing priorities with composure and kindness
- • Excellent written and verbal communication skills, with experience preparing slide decks, meeting notes, and executive communications
- • Ability to support Central Time Zone business hours and willingness to perform occasional on-call or after-hours work as needed
