- • Manage calendars for six partners at a growing CPA firm, ensuring optimal scheduling and conflict resolution across high-volume client and internal meetings.
- • Coordinate all internal and external meetings, including client calls, firm-wide events, and partner-specific appointments, with precision and timeliness.
- • Serve as the primary point of contact for partner email inboxes, filtering, prioritizing, and responding to communications with professionalism and discretion.
- • Assist with task management and workflow tracking using Karbon, ensuring deadlines are met and action items are clearly assigned and followed up on.
- • Organize and maintain partner schedules and priorities, proactively anticipating needs and adjusting plans to accommodate shifting demands.
- • Prepare detailed meeting agendas, distribute pre-read materials, and document follow-up action items with clear ownership and deadlines.
- • Support document preparation for client deliverables, internal reports, and firm communications, ensuring accuracy and adherence to branding and compliance standards.
- • Arrange domestic and international travel logistics for partners, including flights, accommodations, ground transportation, and itinerary coordination.
- • Monitor critical administrative deadlines across multiple partners and ensure timely completion of time-sensitive tasks.
- • Identify inefficiencies in administrative workflows and propose or implement improvements to enhance productivity and reduce manual effort.
- • Collaborate with firm staff to coordinate recurring meetings, firm events, and operational initiatives that support leadership visibility and team alignment.
- • Maintain confidentiality and professionalism when handling sensitive client, financial, and internal firm information.
- • Adapt quickly to changing priorities in a fast-paced professional services environment while maintaining composure and accuracy.
- • Leverage Microsoft Office and Google Workspace to create, edit, and distribute documents, spreadsheets, presentations, and email campaigns.
- • Utilize AI productivity tools and automation workflows to streamline repetitive administrative tasks and improve response times.
- • Act as a trusted liaison between partners and internal teams, ensuring seamless communication and alignment across departments.
- • Maintain a proactive, ownership-driven mindset—anticipating needs before they arise and resolving issues without prompting.
- • Work independently with minimal supervision while consistently delivering high-quality administrative support across multiple executives.
🎯 Requirements
- • Minimum 3+ years of Executive Assistant experience
- • Experience supporting multiple executives simultaneously
- • Excellent written and verbal English communication skills
- • Strong calendar and email management experience
- • Exceptional organizational and time-management skills
- • Proficiency with Microsoft Office and Google Workspace
