Your primary focus will be on driving operations execution, managing intricate logistics, ensuring materials are meticulously prepared, maintaining a high level of organization, and enabling the success of our executives.
- • The ideal candidate is a natural problem-solver with strong business acumen and a proven track record of exceptional organizational skills. You must demonstrate an ability to autonomously and effectively juggle multiple critical requests, exercise sound judgment, and thrive in a dynamic, fast-paced environment while maintaining composure and control under pressure.
- • **Executive & Leadership Support:** You will be responsible for managing complex executive calendars, which includes strategic prioritization, proactive conflict resolution, and continuous schedule optimization to ensure efficient daily itineraries. A key part of this responsibility involves maintaining detailed meeting request trackers and executive to-do lists, ensuring timely action-tracking and diligent follow-ups on all outstanding items.
- • **Meeting Logistics & Materials Management:** You will own the end-to-end logistical execution for a variety of critical executive meetings, leadership forums, and significant organizational events, such as Global Operations Town Halls and XLT sessions. This comprehensive responsibility includes securing appropriate venues, managing all audio-visual requirements, meticulously tracking RSVPs, and providing on-the-spot troubleshooting to ensure smooth event operation.
- • **Materials Readiness and Preparation:** A crucial aspect of your role will be ensuring all necessary materials are prepared and polished. This involves refreshing presentation decks, which includes formatting updates, ensuring accurate attendee lists, and incorporating organizational changes. You will also proactively track outstanding inputs from presenters to guarantee that all materials are correctly versioned and ready for timely distribution.
- • **Communication and Stakeholder Readiness:** You will be instrumental in creating and managing weekly email reminders for key executive priorities and upcoming deadlines. A significant part of this involves proactively chasing updates from various stakeholders to ensure that executives are thoroughly prepared for all their deliverables and commitments.
- • **Travel and Expense Management:** You will coordinate complex domestic and international travel arrangements for executives, ensuring all bookings are handled efficiently and according to preferences. Additionally, you will manage expense reporting and procurement processes, adhering strictly to company policies and procedures.
- • **Leadership Materials Archive Maintenance:** You will establish and maintain a centralized, reliable "Single Source of Truth" archive for all leadership materials. This involves implementing and enforcing strict version control, adhering to naming conventions, and ensuring the archive is easily searchable and accessible to authorized personnel.
- • **Governance and Process Improvement:** You will take ownership of the accuracy of executive distribution lists, leading regular audits to reflect organizational changes. Furthermore, you will partner with the IT department to explore and implement potential automation solutions for improving these processes.
- • **Relationship Management:** A vital component of this role is building and maintaining strong, positive relationships with internal stakeholders across various departments and with senior leadership. This ensures continuity in communications and fosters a collaborative working environment.
