- • Executive Assistant at Tempo Labs Inc. in NYC, supporting leadership in a fast-growing blockchain startup focused on stablecoin infrastructure and real-world payments, enabling executives to focus on strategic initiatives by managing operational complexity.
- • Serve as the central hub for leadership coordination, ensuring seamless communication, scheduling, and administrative execution so the team can maintain momentum in building foundational payment infrastructure for global financial systems.
- • Manage complex, dynamic calendars for multiple executives using Google Calendar and Google Workspace, proactively anticipating conflicts, optimizing time allocation, and adjusting for last-minute changes across time zones and priorities.
- • Coordinate all aspects of domestic and international travel — including flights, ground transportation, accommodations, visas, and itineraries — ensuring cost-effectiveness, compliance, and minimal disruption to executive schedules.
- • Prepare comprehensive meeting materials, agendas, and pre-reads; track action items and follow-ups; and drive cross-functional projects to completion by bridging gaps between legal, people, engineering, and external partners.
- • Oversee office operations including vendor coordination, supply management, workspace organization, and liaison with Paradigm and other partners on facility-related needs to maintain a productive, professional environment.
- • Handle expense reporting, reimbursements, invoice processing, and administrative workflows with precision, ensuring compliance and timely resolution while maintaining confidentiality.
- • Support Legal and People teams in streamlining internal processes, managing document workflows, chasing signatures, and contributing to internal knowledge bases and databases.
- • Plan and execute internal team events, all-hands meetings, and external stakeholder engagements, from venue selection to logistics and post-event follow-up.
- • Act as a trusted gatekeeper and first point of contact for leadership, filtering communications, prioritizing requests, and exercising discretion in sensitive matters.
- • Thrive in an early-stage, high-ambition environment by wearing multiple hats, adapting quickly to shifting priorities, and taking ownership of both routine and ad hoc responsibilities.
- • Contribute to a culture of operational excellence by identifying inefficiencies, proposing improvements, and helping scale systems as the team grows from a tight-knit group to a scaling organization.
🎯 Requirements
- • Bachelor’s degree and proven experience as an executive assistant, ideally supporting multiple leaders in early-stage or growth-stage startups.
- • Expert proficiency in Google Workspace (Calendar, Gmail, Docs, Sheets) and Microsoft Office, with demonstrated ability to manage complex schedules and prioritize competing demands.
- • Exceptional written and verbal communication skills, combined with high integrity, discretion, and a professional, diplomatic demeanor in all interactions.
- • Strong organizational skills, meticulous attention to detail, and the ability to anticipate needs and manage multiple stakeholders and projects simultaneously.
- • Evidence of grit, adaptability, and a startup mindset — comfortable with ambiguity, rapid change, and wearing multiple hats in a fast-paced environment.
- • Interest in or affinity for crypto, blockchain, or fintech sectors, with curiosity about Tempo’s mission to build payment infrastructure for real-world economic flows.
