  • • Maximize executive time by managing complex, multi-calendar schedules and ensuring timely creation and distribution of pre-reads and agendas for key meetings.
  • • Intuitively prioritize and adjust meeting schedules in real-time based on business needs, ensuring the right stakeholders are engaged at the right moments.
  • • Plan and coordinate all domestic and international travel for executives, minimizing disruption while maximizing efficiency and comfort.
  • • Own end-to-end execution of virtual and in-person team gatherings, delivering high-touch, detail-oriented experiences that reinforce company culture.
  • • Attend executive staff meetings, accurately document discussions, and drive action items to completion within prescribed timelines.
  • • Assist in preparing and refining slide decks, presentations, and special project materials to support executive communication and decision-making.
  • • Proactively identify opportunities to enhance operational efficiency, reduce friction, and elevate business processes across the organization.
  • • Accurately track, file, and reconcile executive expenses in full compliance with company policy.
  • • Serve as a key liaison across departments, building strong relationships with executives, fellow EAs, and cross-functional teams to ensure seamless coordination.
  • • Maintain composure and adaptability in a fast-paced, ever-evolving environment while leading with kindness and emotional intelligence.
  • • Manage on-call and after-hours responsibilities as required to support global executive needs.
  • • Leverage proficiency in Google Suite (Gmail, Calendar, Drive, Docs, Sheets), Slack, and Zoom to enable seamless remote collaboration.
  • • Apply best practices for distributed work environments to optimize workflows and communication across time zones.
  • • Support sales, customer success, or go-to-market leadership teams by anticipating needs and streamlining administrative workflows.
  • • Utilize Salesforce to manage executive pipelines, meeting notes, and activity tracking when applicable.

  • • Contribute to a culture of clarity, momentum, and mutual support by acting as both the glue and the grease within the executive team structure.
  • • Ensure all administrative activities align with company policies and legal requirements, including handling access to highly sensitive data such as employee records, customer information, and financials.

🎯 Requirements

  • • Minimum of 5 years experience supporting executive leadership in a fast-paced and dynamic environment
  • • Ability to support Central time zone business hours
  • • Extensive experience planning and executing offsites, with the ability to travel as often as needed to facilitate offsites across the org
  • • Highly collaborative and organized with a strong attention to detail
  • • Demonstrated experience in meeting management and presentation-building
  • • Strong project management skills and proficiency with Google Suite, Slack, and Zoom
