Full Job Description

đź“‹ Description

  • • Serve as the strategic right hand to multiple principals who lead catalyst and place-based initiatives at the Stand Together Foundation, ensuring that every calendar decision, meeting, and administrative action advances the organization’s mission to strengthen communities and remove systemic barriers to opportunity.
  • • Own end-to-end calendar management for high-impact leaders, triaging a constant flow of internal and external requests, negotiating win-win solutions to scheduling conflicts, and protecting strategic focus time so principals can drive transformational change in education, economic empowerment, and community safety.
  • • Provide white-glove logistical support for small- and large-scale convenings—ranging from intimate donor briefings to multi-day summits—by securing venues, managing A/V needs, coordinating catering, and ensuring seamless attendee experiences that reflect the organization’s culture of dignity and mutual benefit.
  • • Act as the connective tissue between principals and cross-functional teams by assembling crisp meeting agendas, capturing concise minutes, tracking action items to closure, and circulating follow-up materials that keep 20+ concurrent projects moving at startup speed.
  • • Serve as a trusted gatekeeper and brand ambassador, exercising impeccable discretion when handling confidential donor information, strategic plans, and personnel matters, while greeting guests and partners with warmth and professionalism that embodies Stand Together’s values.
  • • Reconcile receipts, code expenses, and submit timely reports in Concur (or equivalent platform) so leaders remain compliant and can focus on high-leverage relationship-building rather than paperwork.
  • • Continuously scan the horizon for process improvements—automating repetitive tasks, piloting new collaboration tools, and sharing best practices with a 20-person administrative community of practice—to elevate the caliber of support across the entire philanthropic network.
  • • Partner with the broader Executive Assistant Center of Excellence to design and roll out enterprise-wide systems (e.g., shared calendaring norms, travel booking workflows, digital filing conventions) that scale as the organization doubles in size over the next three years.
  • • Maintain a living dashboard of key performance indicators—meeting acceptance rates, travel cost savings, principal satisfaction scores—that quantifies your impact and guides data-driven refinements to your approach.
  • • Champion Stand Together’s Principle Based Management® culture by proactively seeking feedback, admitting mistakes quickly, and modeling humility and respect in every interaction, thereby reinforcing a workplace where every team member feels empowered to innovate and contribute.
  • • Anticipate the unexpected: whether it’s re-routing a principal’s flight during a weather delay or orchestrating a last-minute donor dinner, you remain composed, resourceful, and solutions-oriented, turning potential crises into moments of delight for stakeholders.
  • • Contribute to special projects on an ad-hoc basis—such as researching best-in-class retreat locations, drafting briefing memos for board presentations, or coordinating cross-team volunteer days—demonstrating your versatility and entrepreneurial spirit.
