- • Be the strategic right hand to the CEO of a fast-growing biotech SaaS startup, operating 100 % remotely from MedellĂn while influencing global decisions that shape the future of precision medicine.
- • Own the CEO’s calendar end-to-end: proactively schedule, triage, and protect the executive’s time across global time zones, ensuring every meeting has a clear purpose, agenda, and follow-up plan while eliminating double-bookings and last-minute conflicts.
- • Orchestrate complex domestic and international travel itineraries—flights, ground transport, visas, lodging, dining, and contingency plans—so the CEO arrives prepared, rested, and on schedule for investor pitches, lab visits, and board meetings.
- • Serve as the primary gatekeeper and ghost-writer for all written and verbal communication on behalf of the CEO: draft, edit, and send emails, memos, investor updates, and LinkedIn posts that reflect the company’s voice and maintain absolute discretion with confidential scientific and financial data.
- • Build and maintain a living “single source of truth” dashboard that tracks product milestones, clinical trial timelines, fundraising KPIs, and regulatory deadlines; surface red flags early and recommend actionable next steps to keep cross-functional teams aligned.
- • Design lightweight yet airtight workflows in Notion, Airtable, or similar tools that allow scientists, marketers, and external consultants to update progress without adding friction, ensuring the CEO can see real-time status at a glance.
- • Coordinate monthly investor newsletters and quarterly board decks: gather inputs from finance, R&D, and operations; synthesize complex data into crisp narratives; manage version control and distribution while meeting SEC-sensitive deadlines.
- • Curate and manage the Scientific Advisory Board lifecycle—identify candidates, schedule quarterly meetings, prepare slide decks, capture minutes, and track follow-through on recommendations—turning world-class academics into active company allies.
- • Plan and execute high-impact virtual and in-person events (advisory dinners, investor days, team off-sites) with meticulous attention to budget, brand standards, dietary restrictions, and cultural nuances, ensuring every attendee feels valued.
- • Tackle ad-hoc personal tasks—expense reconciliation, gift sourcing, subscription management, and family logistics—with the same rigor given to board-level projects, freeing the CEO’s mental bandwidth for strategic decisions.
- • Continuously improve the executive tech stack: pilot new productivity apps, automate repetitive admin tasks, and document SOPs so the company can scale without bottlenecks.
- • Act as a cultural ambassador: model responsiveness, empathy, and precision in every Slack message, Zoom call, and hallway interaction, reinforcing the startup’s values of scientific integrity and operational excellence.
- • Provide light project-management support to the Head of Partner Growth—track partnership pipelines, schedule diligence calls, and maintain CRM hygiene—ensuring no opportunity slips through the cracks during rapid scaling phases.
🎯 Requirements
- • 3+ years of experience supporting C-suite executives in a fast-paced, remote-first environment
- • Native or near-native English with flawless written communication; Spanish fluency is a strong plus
- • Proven ability to manage complex calendars, global travel logistics, and confidential information with discretion
- • Advanced proficiency with productivity suites (Google Workspace, Microsoft 365) and modern tools (Notion, Airtable, Slack, Zoom)
- • Demonstrated success in building lightweight workflows and dashboards that drive cross-functional alignment
