  • • Serve as the primary operational support for the CTO, managing a high-volume calendar across multiple time zones with precision and foresight
  • • Triangulate and prioritize the CTO’s inbox, ensuring critical communications are surfaced and non-essential items are filtered or deferred without delay
  • • Plan and execute end-to-end international travel logistics for the CTO, including flights, accommodations, ground transportation, visas, and detailed itineraries with contingency planning
  • • Coordinate cross-functional operational tasks in partnership with the CEO’s Executive Assistant to ensure alignment across leadership teams and company-wide initiatives
  • • Own the end-to-end onboarding experience for new hires in the NYC hub, designing and iterating processes to improve clarity, speed, and integration
  • • Organize and execute company events including customer dinners, team offsites, and internal gatherings, from budgeting and vendor selection to logistics and follow-up
  • • Manage all operational aspects of the NYC office, including supplies, vendor relationships, facility coordination, and day-to-day functionality
  • • Act as a trusted operational conduit between the CTO and internal teams, ensuring smooth communication and execution of priorities
  • • Anticipate gaps in processes or workflow and proactively implement solutions without being asked, treating every task—no matter how small—as critical to the company’s momentum
  • • Represent the CTO in written communications with clarity, tone, and professionalism across emails, calendars, and internal notes
  • • Maintain strict confidentiality and discretion in all matters involving leadership, strategy, and sensitive company information
  • • Demonstrate exceptional judgment by identifying subtle but important details others overlook, preventing oversights in scheduling, communications, or logistics
  • • Adapt quickly to shifting priorities and emerging needs in a fast-scaling startup environment, maintaining composure and precision under pressure
  • • Build rapid, authentic trust with senior leaders and team members through reliability, empathy, and proactive problem-solving
  • • Maintain accurate and up-to-date records for calendars, travel logs, event documentation, and operational procedures
  • • Collaborate with finance and HR to ensure expense reports, reimbursements, and administrative tasks are processed accurately and on time
  • • Support occasional travel to Ottawa and San Francisco for meetings, offsites, or operational needs, adapting logistics and coordination to each location’s requirements
  • • Embody the company’s values by overstepping when needed, prioritizing correctness over simplicity, and focusing on customer traces rather than assumptions
  • • Contribute to operational documentation and process refinement, helping scale systems as the company grows
  • • Work hybrid in the NYC downtown office with flexibility for remote work when appropriate, while maintaining consistent availability for leadership support

🎯 Requirements

  • • Proven experience as an Executive Assistant, Chief of Staff, or in a similar high-level operations role
  • • Demonstrated ability to manage complex calendars, inboxes, and travel logistics for senior executives under high volume and pressure
  • • Strong judgment with a track record of catching critical details others miss and proactively resolving issues
  • • Excellent written and verbal communication skills; ability to represent senior leadership clearly and professionally in all correspondence
  • • Demonstrated operator mindset: self-starting, resourceful, and willing to handle any task, no matter how small, to keep operations running smoothly
  • • Experience coordinating across multiple time zones and senior stakeholders with competing priorities
