- • Lead the design, implementation, and continuous improvement of operational systems across all seven delivery functions: UGC, Video Editing, Design, Influencer Marketing, Creative Strategy & Copywriting, Paid Media, and Project Management.
- • Build, hire, and manage a team of 2–3 Operations Managers embedded within each delivery function to ensure consistent execution and accountability.
- • Audit and consolidate existing operational tools and workflows, replacing fragmented systems with standardized, scalable processes that support growth to 300–400+ team members by 2027.
- • Own and standardize the agency’s core operational tech stack including Airtable, ClickUp, Notion, Make/N8N/Zapier, Claude, Fathom, and G-Suite—defining clear usage protocols, ownership, and integration points.
- • Collaborate directly with department leads in UGC, Performance Creative, Influencer Marketing, Paid Media, Video Editing, and Design to identify operational pain points and translate them into actionable, team-approved workflows.
- • Design and implement intake, handoff, QA, and escalation protocols that reduce management overhead while maintaining quality and alignment across 100+ team members.
- • Develop comprehensive documentation and training resources to accelerate onboarding and reduce dependency on institutional knowledge.
- • Proactively identify and eliminate operational bottlenecks before they impact delivery timelines, creative quality, or team morale.
- • Serve as the central point of coordination between creative delivery teams and leadership, ensuring operational transparency and alignment with business goals.
- • Report directly to the COO and work closely with the Chief Creative Officer to align operational strategy with creative vision and business growth targets.
- • Foster a culture of operational excellence where teams take pride in structured, efficient workflows without sacrificing agility or creative freedom.
- • Drive adoption of new tools and processes through change management, clear communication, and hands-on coaching rather than top-down mandates.
- • Maintain flexibility to adapt systems as the agency scales, ensuring processes evolve with team size, client demands, and technological advancements.
- • Act as the primary architect of inBeat’s operational backbone—transforming ad-hoc, evolving systems into a reliable, repeatable engine that supports high-volume creative delivery.
🎯 Requirements
- • Proven experience leading Creative Ops or Agency Operations at a sizeable agency (100+ people minimum)
- • Deep understanding of how creative delivery functions work—UGC, video, design, paid media, influencer—not just one or two of them
- • Track record of building systems and processes that teams actually use and love
- • High fluency across project management and ops tooling—Airtable, ClickUp, Notion, Make/Zapier/N8N or equivalents
- • Systems thinker who can see the full operational picture and translate it into clear, well-documented processes
- • Strong communicator who can build trust and buy-in with department leads across different creative disciplines
