- • As the Head of UK Operations at Bolt Pharmacy, you will be instrumental in building and scaling the critical physical and logistical infrastructure that underpins our commitment to fast, safe, and high-quality patient delivery.
- • This pivotal role offers complete ownership of our UK operations, from the current pharmacy setup to the strategic design and successful launch of our next-generation, high-capacity facility.
- • You will be tasked with architecting and implementing the systems and processes necessary to transition from our current operational scale to handling an ambitious 35,000 orders per day, ensuring seamless growth without compromising efficiency or quality.
- • A core focus will be the continuous streamlining of every aspect of the dispensing process, identifying opportunities for automation to enhance speed and accuracy.
- • You will meticulously design and optimize the flow of operations across receiving, checking, packing, and dispatch, creating a highly efficient and integrated workflow.
- • Strengthening our cold chain capabilities and enhancing inventory security will be paramount, implementing robust measures to protect valuable pharmaceutical stock.
- • The implementation of scan-based verification systems will be a key initiative to further improve accuracy and traceability throughout the fulfillment process.
- • Ultimately, you will ensure the entire operation is robust, scalable, and fully prepared to manage a tenfold increase in order volume.
- • At its heart, this role is about the comprehensive management of the operational 'four walls' – encompassing people, processes, and physical infrastructure.
- • **People Management:** You will lead and inspire the on-site operations team on a daily basis. This includes the full spectrum of HR responsibilities: strategic hiring to build a high-performing team, comprehensive training programs to ensure consistency and skill development, effective scheduling to meet demand, rigorous performance management, and the ability to make decisive personnel decisions when necessary.
- • You will establish and uphold clear performance standards on the operational floor, fostering a culture that champions pace, precision, and unwavering accountability.
- • **Process Improvement & Throughput:** Your mandate will be to drive continuous improvement across all operational workflows. This involves identifying and implementing micro-optimizations in facility layout, tooling, and standard work procedures to maximize throughput while rigorously maintaining the highest standards of quality and compliance.
- • You will own the strategic roadmap for scaling operations from the current volume to 10,000, 20,000, and ultimately 35,000 orders per day, ensuring each stage is meticulously planned and executed.
- • **Daily Facility Operations:** You will be responsible for the day-to-day operational stability and efficiency of the facility. This includes managing relationships with suppliers, coordinating pickups and deliveries, overseeing equipment maintenance, ensuring strict adherence to safety protocols, and maintaining site readiness to handle fluctuating demand and unexpected challenges.
- • Success in this role will be measured by the smooth and efficient operation of the site at scale, a demonstrable downward trend in error rates, consistent increases in operational speed, and the team's capacity to absorb rapid growth without succumbing to chaos or burnout.
- • This is a full-time, UK-based position, requiring flexibility for occasional meetings scheduled around midday Pacific Time to accommodate global collaboration.
- • You will report directly to Jordan Pellikan, Head of CX & Ops, and will collaborate closely with key stakeholders including Richie (CEO), Saim (UK Lead), and Ben Dowdle (Head of Product).
- • **Key Responsibilities:**
- • Assume full accountability for the new UK site, designed to efficiently handle 35,000 daily orders.
- • Oversee and ensure the smooth execution of day-to-day facility operations, guaranteeing reliable performance.
- • Develop and implement robust systems and routines that ensure the consistent and reliable operation of dispensing, packing, and delivery processes at scale.
- • Take end-to-end ownership of cold-chain integrity as volumes increase, including proactive capacity planning, continuous monitoring, and effective failure response strategies.
- • Enhance physical security measures and implement stringent stock control protocols for high-value inventory.
- • Drive operational performance by owning throughput, error rates, and Service Level Agreements (SLAs), leveraging key metrics to inform daily operational decisions.
- • Build, develop, and lead a high-performing operations team, establishing clear structures, responsibilities, and ownership across all operational stations.
- • Recruit, train, and coach team members to foster consistency, speed, and exceptional quality in their work.
- • Actively manage team performance, address underperformance proactively, and make necessary personnel decisions to maintain team effectiveness.
- • Establish clear daily reporting mechanisms, operating rhythms, and escalation paths to ensure timely issue resolution.
- • Champion process improvement initiatives and drive throughput enhancements across all operational functions.
- • Lead the continuous optimization of workflows, from receiving and checking to packing and dispatch, focusing on efficiency and accuracy.
- • Strategically scale operations through defined phases (current state, 10k, 20k, 35k orders per day), ensuring stability at each milestone.
- • Pragmatically evaluate and implement automation opportunities that demonstrably reduce errors or alleviate manual workload.
- • Pilot practical automation solutions in packing, checking, or cold-chain preparation where stability and volume justify the investment.
- • Prioritize operational reliability and execution excellence over the adoption of unproven or overly complex technological solutions.
- • Ensure exceptional delivery reliability at scale by overseeing outbound performance and coordinating effectively with logistics partners.
- • Proactively manage and resolve issues to maintain predictable and resilient delivery performance as order volume grows, safeguarding the patient experience.
