- • Delegate CX Inc. is seeking a dedicated and proactive Home-Based Assistant Property Manager to join their dynamic team. This role is crucial for ensuring the smooth operation of properties by acting as the primary liaison between tenants, vendors, and the management team. The Assistant Property Manager will be instrumental in managing all aspects of property administration, from initial lease agreements to ongoing tenant relations and financial oversight, all while fostering a positive and efficient living or working environment for tenants.
- • In this role, you will be responsible for the comprehensive management of lease documentation, including the preparation, processing, and tracking of lease agreements, amendments, proposals, and abstracts using provided templates. A key part of your day-to-day will involve diligently tracking lease renewals to ensure timely follow-up with tenants, thereby minimizing vacancies and maintaining consistent occupancy. You will also be tasked with preparing and sending welcome packages to new tenants, ensuring they feel supported from the outset, and meticulously maintaining up-to-date tenant contact records for efficient communication. Furthermore, you will manage critical property-specific records such as co-tenancy, exclusive use, and pylon sign rights, ensuring compliance and accuracy.
- • A significant aspect of your responsibilities will involve serving as the primary point of contact for all tenant maintenance requests. This includes efficiently routing issues to the appropriate vendor or contractor, ensuring timely resolution and tenant satisfaction. You will actively solicit and compare bids from various vendors for services and repairs, negotiating favorable terms to manage costs effectively. Proactive communication with tenants regarding maintenance schedules, property updates, and any potential disruptions will be essential to maintain transparency and manage expectations. Additionally, you will coordinate the setup, transfer, and termination of utility services for properties and diligently track fire life safety inspections across all managed properties to ensure regulatory compliance and safety.
- • In support of leasing efforts, you will be responsible for updating property marketing materials, including site plans, LoopNet listings, and the company website, ensuring that properties are presented attractively and accurately to potential tenants. You will also initiate, track, and report on various marketing efforts designed to support leasing activity, providing valuable insights into campaign effectiveness. On the financial and compliance front, you will run bi-monthly accounts receivable (AR) reports, keeping management informed of any tenant delinquency status and implementing collection strategies. This includes following up with tenants on outstanding balances and issuing late or default letters in accordance with established policies. Maintaining current insurance certificates for both tenants and vendors is a critical compliance task, as is tracking tenant certificates of occupancy and ensuring adherence to sales report requirements.
- • To support the broader management team, you will handle daily administrative tasks such as processing mail, FedEx shipments, and certified mail. You will also be responsible for coding invoices for management approval, ensuring accurate and timely processing of vendor payments. This role requires a high degree of organization and the ability to manage multiple projects and deadlines simultaneously. You will leverage your project management skills to ensure all tasks are completed efficiently and effectively. The ability to analyze data and understand high-level financial results will be crucial for reporting and decision-making. You will also gain experience in managing customer complaints and expectations, turning potentially negative situations into opportunities for service improvement. Experience with property management software like AppFolio or similar cloud-based systems will be essential for daily operations.

🎯 Requirements
- • Bachelor's degree in a related field (preferred).
- • At least two years of relevant experience, with property management experience being a must; maintenance/construction support experience is a plus.
- • Strong verbal, written, and English communication skills.
- • Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.
- • Reliable computer equipment with high-speed internet connection, proficient with MS Word, Excel, Adobe Acrobat, Google Docs and Sheets, Google Voice, Zoom.
- • Experience with AppFolio or other cloud-based property management software.
