- • As an HR Administrator at WellTech Limited, you will play a pivotal role in maintaining HR data integrity, managing employee and contractor records, and supporting HR operations across Ukraine and international locations, ensuring seamless administrative functions that enable the company’s mission to promote wellness for millions globally.
- • You will act as a key operational backbone for the HR team, handling critical tasks such as HRIS management in Workday, payroll input preparation, benefits administration, military record oversight, policy development, and first-line HR support via Jira, email, and direct communication, directly contributing to organizational efficiency and employee experience in a fast-paced, remote-friendly, global environment.
- • The HR Operations team at WellTech is a collaborative, values-driven unit embedded within a diverse, innovative company of 700+ professionals spanning Cyprus, Ukraine, Poland, Spain, and the UK, where your work supports talent acquisition, HR business partners, finance, IT, and leadership through accurate data, compliant processes, and accessible documentation.
- • In this role, you will deepen your expertise in global HR operations, gain hands-on experience with Workday and international labor compliance (particularly Ukrainian law), develop process automation skills, and grow into a trusted HR operations specialist capable of influencing policy and supporting scalable people strategies in a high-growth wellness tech company.
- • Maintain accurate and up-to-date HR data within Workday, ensuring data integrity, consistency, and confidentiality across employee and contractor records for Ukraine and international hubs.
- • Oversee HR administration tasks including drafting, completing, and organizing employment and contractor agreements, addendums, and related documentation for multiple jurisdictions, ensuring legal compliance and timely execution.
- • Prepare monthly payroll inputs for in-house and external providers, managing base pay changes, variables, absence tracking, and reconciliation deadlines with precision and adherence to local regulations.
- • Administer both in-kind and monetary benefits programs, maintain updated benefits databases, and collaborate with benefits teams to ensure accurate enrollment, communication, and reconciliation.
- • Serve as the first-line HR support contact via Jira ticketing system, email, and direct messages, providing guidance on contracts, onboarding/offboarding, absence policies, documentation, and procedural inquiries for employees and managers globally.
- • Develop, update, and maintain global HR policies and procedures in Confluence, incorporating local legal requirements (especially Ukrainian labor law) and ensuring accessibility for HRBPs, Talent Acquisition, Finance, IT, and leadership teams.
- • Monitor and manage military records in compliance with Ukrainian legislation, ensuring proper storage, confidentiality, and timely updates as part of HR compliance obligations.
- • Identify inefficiencies in HR processes and propose automation or workflow improvements using tools like Workday, Excel, Google Sheets, and task management systems to enhance operational efficiency.
- • Support the Poland hub as a backup HR administrator, ensuring continuity of HR services during absences or peak periods through cross-hub collaboration.
- • Uphold data privacy and confidentiality standards in all HRIS and document management activities, aligning with GDPR and local data protection regulations.
🎯 Requirements
- • Minimum 3 years of experience in HR operations, with proven ability to manage HRIS, payroll inputs, benefits administration, and employee lifecycle documentation.
- • In-depth knowledge of Ukrainian labor law and market practices, including the ability to interpret and apply regulations to HR processes such as contracts, military records, and benefits.
- • Proficiency in HR systems, specifically Workday, along with strong working knowledge of Slack, Jira, Confluence, Google Docs/Sheets, Excel, and other task management tools for data tracking and process automation.
- • Native fluency in Ukrainian and full professional fluency in English, both written and spoken, to effectively communicate with local teams and global stakeholders.
- • Excellent organizational skills, attention to detail, structured logical thinking, and problem-solving abilities, with a proactive mindset for identifying process gaps and proposing practical solutions.
- • Strong communication and interpersonal skills to collaborate effectively with diverse, remote teams across multiple countries and time zones.
