  • • Penumbrainc Inc. is seeking a dedicated and detail-oriented HR Coordinator to join our dynamic team in Roseville, CA. You will be responsible for coordinating a wide array of day-to-day Human Resources operational functions, touching upon various stages of the employee life cycle.   • • As an HR Coordinator, your primary focus will be on delivering exceptional customer service to our employees. You will be the first point of contact for many HR-related inquiries, responding promptly and professionally to requests. A key part of your role will involve managing an employee inquiry ticket system, where you will respond to, update, and close out employee queries. For more complex issues, you will skillfully assign tickets to the appropriate subject matter experts, ensuring efficient resolution.
  • • You may also play a crucial role in our onboarding process by conducting new employee orientation presentations. This involves ensuring that all new hires are welcomed effectively and that their essential new hire documents, including I-9 forms, are completed accurately and submitted in a timely manner. Your attention to detail here is paramount to establishing a smooth start for our new team members.
  • • A significant responsibility will be the processing and meticulous maintenance of all documentation required for new employees. This includes providing essential assistance with benefits enrollment, guiding employees through timekeeping procedures, and ensuring understanding of company policies. Your support in these areas is vital for employee satisfaction and compliance.
  • • Maintaining the integrity and accuracy of employee records is a core function. You will be responsible for regularly updating and filing confidential employee files, ensuring that all information is complete, secure, and easily accessible when needed, while strictly adhering to privacy regulations.
  • • Depending on business needs, you may be tasked with coordinating the credentialing process. This comprehensive task involves managing agency accounts, including access, documentation, and billing. It also extends to ensuring employee requirements are met, such as applications, medical documents, drug tests, immunizations, and background checks, as well as managing general liability insurance and workers’ compensation certificates. This requires a high level of organization and proactive communication.
  • • You will contribute to the development and maintenance of HR resources by creating and updating Standard Operating Procedures (SOPs), HR guides, and presentation content. This ensures consistency and clarity in our HR processes and communications.
  • • Responding to ad hoc information requests and preparing reports will be a regular duty, providing valuable data and insights to support HR initiatives and other departments. Your ability to gather and present information clearly will be highly valued.
  • • You will have the opportunity to participate in special HR projects, contributing your skills and insights to various initiatives aimed at improving our HR functions and employee experience. This offers a chance to broaden your HR expertise and engage in strategic work.
  • • Supporting HR records management and audit requests is critical for compliance and operational efficiency. You will assist in ensuring our records are audit-ready and that all requests are handled accurately and promptly.
  • • You may also be responsible for maintaining and updating HR-related information on the Company’s intranet and/or SharePoint sites, ensuring that employees have access to the most current and relevant information.
  • • A strong commitment to our Quality Management System (QMS) is essential. You will adhere to all domestic and global quality system regulations, standards, and procedures, and ensure that other members of the department also uphold these standards. Understanding and applying relevant security, privacy, and compliance principles is a key aspect of this role.
  • • This role requires a proactive approach to problem-solving, a "can-do" mindset, and the ability to maintain a high degree of discretion with confidential information. You will work in a general office environment in Roseville, CA, with the potential for occasional business travel (0%-10%). Flexibility is key, as you may be required to be available for on-call duty during off-hours on a rotating schedule and to switch weekend days off with weekdays when necessary to support 24/7 production environments. The role may involve potential exposure to blood-borne pathogens and requires the ability to lift up to 50 pounds, move between buildings and floors, and remain stationary at a computer for extended periods. Excellent communication skills, both written and verbal, are essential for daily interactions with employees at all levels.

🎯 Requirements

  • • Associate’s degree with 2+ years of related administrative experience or an equivalent combination of education and experience.
  • • Customer service oriented, exhibits a positive mindset and is approachable.
  • • Effective oral, written, verbal and interpersonal communication skills, including empathy, patience, and ability to communicate effectively across cultures and with all levels of the organization.
  • • Organized and able to prioritize assignments in a fast-paced multi-task environment.
  • • Basic understanding and knowledge of Microsoft Office products including but not limited to Excel, Word, PowerPoint, Teams, and Outlook.
  • • Able to maintain high degree of discretion in matters of confidentiality. Resourceful problem solver with a “can do” mindset.
