📋 Description

  • As an Intake Manager at AnswersNow, you will be at the forefront of our mission to revolutionize autism therapy by ensuring a seamless and efficient entry point for families seeking our innovative virtual ABA services. This pivotal role is responsible for the comprehensive oversight and continuous optimization of the entire learner and family intake process, including the direct management and development of our dedicated intake specialist team.
  • You will be the architect of efficiency, meticulously evaluating current intake procedures to identify and implement improvements that enhance speed, accuracy, and overall effectiveness. Your primary objective will be to take complete ownership of the intake journey from the very first contact to the successful onboarding of families, ensuring a smooth, supportive, and timely transition into our care.
  • Leading a team of intake specialists, you will foster a high-performance culture through effective hiring, robust training, consistent performance management, and dedicated professional development. Your leadership will empower your team to provide an exceptional first impression, guiding families with empathy and clarity through the complexities of accessing top-quality ABA care.
  • A key responsibility will be the development and implementation of standardized, streamlined workflows for managing incoming requests. This includes establishing clear prioritization protocols and optimizing resource allocation to ensure that every family receives prompt and appropriate attention.
  • You will serve as a crucial liaison, collaborating closely with various internal departments – including clinical, operations, and billing – to deeply understand their intake-related needs and requirements. This cross-functional synergy is essential for aligning intake processes with broader organizational goals and ensuring a cohesive patient experience.
  • Implementing rigorous quality assurance measures will be paramount to guarantee the accuracy, completeness, and integrity of all intake data and documentation. This commitment to quality underpins the reliability of our services and the trust families place in us.
  • To drive continuous improvement, you will establish and monitor key performance indicators (KPIs) that measure the effectiveness and efficiency of the intake process. Based on this data, you will develop and execute strategies for ongoing enhancement, ensuring AnswersNow remains at the cutting edge of service delivery.
  • You will be instrumental in identifying and leveraging technology solutions to automate and streamline intake processes wherever feasible, reducing manual effort and freeing up your team to focus on high-value interactions with families.
  • Proactive risk management is also a critical component of this role. You will identify potential risks and bottlenecks within the intake process and develop robust mitigation strategies to minimize disruptions and ensure uninterrupted service delivery.
  • Finally, you will be responsible for generating regular, insightful reports on intake process performance, clearly highlighting successes, identifying areas for improvement, and providing data-driven recommendations to leadership. Your analytical skills will be key to driving strategic decisions and ensuring the intake function consistently exceeds expectations.
  • This role demands a proactive, detail-oriented individual who thrives in a fast-paced, dynamic environment. You must possess the ability to juggle multiple tasks effortlessly, always maintaining focus on priorities and deadlines. Your strength will lie in breaking down complex problems into manageable components, meticulously examining each aspect to uncover patterns, trends, and actionable insights.
  • Success in this position requires excellent critical thinking and data analysis skills, with a proven ability to draw meaningful conclusions from large volumes of information. You will be an excellent communicator with strong interpersonal skills, enabling effective collaboration across diverse teams. Furthermore, a genuine passion for managing and developing teams, investing in their growth, and a desire to make a significant impact by optimizing critical operational processes are essential qualities for thriving at AnswersNow.
