📋 Description

• As Vapi Technologies Inc. scales from ~50 to 200+ employees, the IT Manager will own and build the IT function from the ground up, ensuring every employee is productive on day one while maintaining strong security and operational consistency across devices, access, and systems.
• This is a builder role focused on creating infrastructure, processes, and standards—not a support position—enabling scalable growth by eliminating fragmentation in onboarding, access management, device provisioning, and security operations.
• Day-to-day responsibilities include taking full ownership of onboarding and offboarding across devices, accounts, and system access; auditing all company hardware, SaaS tools, and access permissions to establish a clear baseline; identifying gaps in security practices, access controls, and asset tracking; and centralizing IT ownership through documentation of systems, tools, and processes.
• Over the first 60 days, the role will implement structured onboarding and offboarding workflows that are fast, consistent, and scalable; stand up a robust IT asset management system covering procurement, provisioning, tracking, and recovery; establish role-based access controls and improve SaaS permission governance across all tools; and partner with the external CISO to operationalize security practices and roll out company-wide training.
• By day 90, the IT Manager will build a scalable IT operating system to support rapid hiring and growth; introduce strong device lifecycle management and vendor/procurement processes; strengthen security posture through improved access hygiene, monitoring, and compliance readiness; and create clear documentation and systems that allow IT to run efficiently without constant intervention.
• The IT team at Vapi is being built to support a high-velocity, founder-led culture where 70% of the company are previous founders, and the mission is to create the shift to voice as humanity’s default interface through the most configurable platform for deploying voice agents.
• In this role, you will gain end-to-end ownership of IT operations in a high-growth startup environment, develop expertise in scaling IT systems securely and efficiently, and directly impact company velocity and safety by enabling seamless scaling from 50 to 200+ employees.

🎯 Requirements

• 5+ years of experience in IT operations, systems administration, or IT management in high-growth environments
• Proven track record of building or significantly improving IT systems and processes at a scaling company
• Deep experience with IT asset management, device lifecycle management, and SaaS access governance
• Strong understanding of security fundamentals, including access controls, identity systems, and security best practices
• Experience partnering with external security leaders (e.g., CISO) and translating strategy into execution
• Bonus: Experience in a startup or rapidly scaling environment (0 → 100+ employees), familiarity with MDM tools (Jamf, Kandji, Intune, etc.), and experience with identity and access management tools (Okta, Google Workspace, etc.)
