Gorospe Law Group, based in Tulsa, Oklahoma, is seeking a meticulous Legal Assistant (Medical Records) to join our remote team. This role is crucial to our mission of providing unparalleled client service by efficiently managing the acquisition and organization of essential medical records and insurance documents. You will be an integral part of our support system, working closely with case managers to ensure the timely and accurate progression of personal injury claims, directly impacting our clients' recovery journeys and the overall success of their cases.
  • • As a Legal Assistant (Medical Records) at Gorospe Law Group, your responsibilities will be multifaceted and vital to the operational efficiency of our firm. You will be instrumental in setting up and maintaining both first and third-party insurance claims, ensuring every detail is accurately captured and meticulously organized from the outset. A significant aspect of your role will involve the comprehensive management of medical records and bills. This includes proactively requesting these documents from various providers, diligently tracking their submission status, and following up persistently to secure them within required timelines. Your attention to detail will extend to verifying the balances owed to medical providers, ensuring this information is accurately obtained and documented before proceeding.
  • • Furthermore, you will be responsible for preparing and dispatching subrogation requests to health insurance carriers, diligently following through to ensure all necessary actions are taken. While direct client interaction via phone is not expected, you will play a key role in client communication by providing written treatment-status updates through our firm’s CRM system, utilizing text and email formats to keep clients informed. This role demands a high degree of collaboration; you will work in close partnership with our in-house case managers, executing tasks efficiently and helping to prioritize workloads to meet critical deadlines. You will report directly to the firm’s two Case Managers, who will provide clear direction on priorities and oversee your progress, fostering a supportive and communicative working relationship. Your daily operations will involve leveraging technology effectively, including operating within the SmartAdvocate CRM and Microsoft 365 suite to meticulously document and track case progress and communications. You will also utilize Microsoft Teams for internal collaboration and RingCentral for communication workflows as needed, ensuring seamless information flow within the team.

By focusing on these specific workflows, you will rapidly develop specialized skills and become an invaluable asset to our team. We prepare every case for potential trial, and your meticulous record-keeping and document management are foundational to this process.
