  • • This is a high-ownership role focused on the precise execution of research, documentation, booking, quality control, and real-time support, all delivered with a calm, polished, and luxury-standard tone.
  • • You will be responsible for turning traveler intent into structured, detailed trip plans by conducting thorough research and ensuring diligent follow-through on every aspect.
  • • Your primary focus will be on building and maintaining clear, accurate, day-by-day itineraries that reflect the latest confirmations, any changes, and specific member feedback.
  • • A critical part of your role involves maintaining pristine and accurate documentation across all internal systems, trip profiles, and notes, ensuring a single source of truth for every trip.
  • • You will execute all necessary bookings for flights, hotels, transportation, dining reservations, and curated experiences, demonstrating an exceptional level of precision.
  • • This includes meticulously tracking all confirmations, vouchers, special requests, and time-sensitive details, ensuring nothing is overlooked.
  • • You will adeptly manage changes, cancellations, and updates to bookings, ensuring these modifications are handled seamlessly without disrupting other components of the trip.
  • • A key responsibility is ensuring perfect alignment across all elements of a trip, including dates, transfer schedules, and arrival logistics, to prevent any potential friction for the traveler.
  • • You will serve as a primary point of contact for members, communicating proactively via WhatsApp and email to provide high-touch updates.
  • • Your communication style will be calm, confident, and consistently reflect the luxury standards expected by our clientele, keeping members informed end-to-end.
  • • You will be adept at translating vague or urgent member messages into clear, actionable next steps and well-defined plans.
  • • A crucial aspect of the role involves in-trip monitoring, keeping a close watch on members who are currently traveling or are scheduled to travel within the next 48 hours.
  • • You will be responsible for efficiently troubleshooting any issues that arise during travel, such as flight delays, missed connections, or unexpected vendor changes.
  • • Thoughtful escalation of issues will be required when complex judgment, critical decisions, or additional support from senior team members are necessary.
  • • Maintaining service quality and composure under significant time pressure is paramount to ensuring a positive member experience.
  • • You will strictly adhere to Standard Operating Procedures (SOPs), Quality Assurance (QA) checklists, and internal standards to ensure near-zero-error execution on all tasks.
  • • Taking ownership of member-impacting tasks, even when responsibility is not explicitly assigned, is a core expectation of this role.
  • • Ensuring clean and efficient handoffs of trip details and responsibilities across shifts and between teammates is vital for continuous support.
  • • Proactively flagging edge cases and potential issues early is essential to prevent future disruptions and improve our processes.

🎯 Requirements

  • • Minimum of 2 years of experience in hospitality, luxury service, concierge roles, travel operations, or premium customer support.
  • • Proven experience coordinating complex itineraries involving multiple vendors, destinations, and time zones.
  • • Demonstrated exceptional attention to detail with a consistently high standard for accuracy in all work.
  • • Strong written communication skills, characterized by a polished, warm, and professional tone.
  • • High level of organization and the ability to manage multiple complex trips and tasks simultaneously without compromising quality.
  • • Comfort and proficiency operating in an asynchronous, messaging-first communication environment.
