  • • The Marketing Administration Officer supports the Head of Marketing and business development teams by ensuring seamless operation of marketing systems, communications, social channels, event workflows, and reporting—playing a critical role in maintaining the efficiency and effectiveness of marketing initiatives during a fixed-term maternity leave coverage.
  • • Day-to-day responsibilities include managing HubSpot CRM (contact and company updates, list imports/exports, data hygiene, workflow creation, and scheduling weekly email sends), producing monthly marketing and BD sales reports, building and updating HubSpot dashboards, monitoring marketing and company inboxes to triage inquiries, managing LinkedIn messaging and connection requests for the CEO and company pages, scheduling social media content via HubSpot for LinkedIn and Meta, assisting with website updates in WordPress and Course Creator 360, supporting Practice Success Summit logistics including event administration, partner communications, and CPD certificate creation, and setting up new leads and project records across HubSpot, Smartsheet, QuickBooks, and internal documentation with team updates via Slack.

🎯 Requirements

  • • Proficiency in HubSpot CRM including creating and updating contacts and companies, importing/exporting lists, maintaining data hygiene (tags, duplicates, unsubscribes), building lists and workflows, and scheduling/monitoring weekly email sends as directed by the Head of Marketing.
  • • Strong analytical skills in Google Analytics, including analyzing traffic and behavior, creating reports, and setting up/maintaining website goals and conversions for performance tracking.
  • • Experience creating, maintaining, and reporting on paid media campaigns across Google Ads (Search/Remarketing), Meta Ads, and LinkedIn Ads, including retargeting strategies to increase brand awareness from organic channel visitors.
  • • Advanced spreadsheet capabilities in Excel or Google Sheets for reporting, data analysis, and data hygiene tasks.
  • • Exceptional attention to detail in CRM data management, tagging discipline, and process documentation, with the ability to translate workflows into clear team procedures and learning materials.
  • • Excellent written communication skills for professional email correspondence, LinkedIn messaging, and coordination notes, combined with the ability to manage multiple workflows, deadlines, and weekly schedules with minimal supervision.
