- • The Marketing Operations Coordinator is a pivotal role responsible for ensuring the smooth, accurate, and timely execution of marketing campaigns across five distinct brands within a leading educational solutions company. This position is integral to maintaining operational rigor, enforcing process discipline, and facilitating seamless marketing delivery.
- • You will be the guardian of our campaign workflows, meticulously managing and optimizing them within Asana to guarantee adherence to established processes and the punctual completion of all deadlines. Your role involves developing, implementing, and refining these workflows to enhance efficiency and effectiveness.
- • A core responsibility is maintaining the comprehensive 360 marketing calendar. This involves ensuring its accuracy, providing clear visibility to all stakeholders, and fostering alignment across the marketing efforts of all five brands. You will be the central point of contact for calendar updates and conflict resolution.
- • You will collaborate closely with channel managers, acting as a key coordinator to ensure campaigns transition seamlessly from the planning stages through to final execution. This requires proactive communication and diligent follow-up to keep projects on track.
- • In Asana, you will be instrumental in enforcing intake rules, ensuring that no marketing work commences without a formal request or a clearly defined task. This process discipline is crucial for maintaining order and accountability.

- • In terms of SharePoint and Asset Management, you will be responsible for maintaining the integrity of SharePoint folder structures and file nomenclature, performing regular cleanups to ensure organization and accessibility.
- • You will serve as the primary internal point of contact for sharing requested assets, utilizing SharePoint links to provide efficient and secure access to marketing materials.
- • For Cross-Brand Marketing Operations, you will ensure that all five brands are accurately represented in the marketing calendar, proactively flagging any scheduling conflicts that may arise.
- • You will manage the quarterly direct mail send lists and monthly sweepstakes prize winners, ensuring accuracy and timely processing.
- • A critical function is performing pre-flight Quality Assurance (QA) on all marketing assets, including campaigns, websites, emails, and social media updates. This involves checking for broken links, content accuracy, correct dates, and consistent branding.
- • Support will be provided for tradeshow logistics, branded merchandise, and the coordination of creative assets, ensuring all operational aspects are handled efficiently.
- • You will act as the primary point of contact for external partners, including printers, swag vendors, freelancers, and other suppliers, managing communications and ensuring deliverables meet expectations.
- • Coordinating meetings is another aspect of the role, which includes preparing agendas, distributing meeting notes, and helping to keep discussions focused and productive.
- • You will also support ad-hoc administrative tasks, such as preparing data for budget reviews and updating spreadsheets, contributing to the overall efficiency of the marketing operations team.
