  • As a Medical Virtual Assistant at Pearl Talent, you will be instrumental in managing the entire lifecycle of medical records, from the moment a request is initiated to the final delivery of documentation. This critical role ensures the accuracy, compliance, and timeliness of all medical records, acting as a vital link between healthcare providers and downstream teams.
  • Your primary responsibility involves meticulous coordination and management of medical records. This includes proactively requesting records from various providers and facilities, diligently tracking their progress, and organizing them systematically upon receipt. You will be expected to initiate requests and implement a robust follow-up system to guarantee timely acquisition of all necessary documents.
  • A significant part of your role will involve direct communication with provider offices. You will engage with them to resolve any delays, discrepancies, or issues that may arise during the record retrieval process. This requires building and maintaining professional relationships with these offices, demonstrating diplomacy and efficiency in your interactions.
  • You will also be responsible for coordinating the Release of Information (ROI) processes, ensuring that all authorization requirements are strictly met before any records are released. This demands a thorough understanding of privacy regulations and client-specific protocols.
  • Maintaining a real-time tracking system of all outstanding requests and their current statuses is paramount. This system will be your central hub for monitoring progress and identifying potential bottlenecks.
  • You will need to navigate and adhere to provider-specific compliance protocols and unique requirements, ensuring that every step of the record management process is compliant and secure.
  • A substantial portion of your day will be dedicated to monitoring various digital channels for incoming medical records. This includes actively checking email inboxes, fax dashboards, provider portals, and secure websites to ensure no document is missed.
  • Upon receipt, you will promptly download and log all incoming records across all identified channels. This requires a systematic approach to ensure nothing is overlooked.
  • Strict adherence to correct file naming conventions, categorization, and storage standards is essential for maintaining an organized and easily retrievable document repository.
  • You will be responsible for uploading documents into the appropriate sections of internal systems, ensuring they are correctly associated with the relevant cases or clients.
  • Documents must be routed to the correct teams or case files without any delay, facilitating seamless workflow continuity for other departments.
  • Maintaining an uninterrupted monitoring cadence is crucial to prevent any missed items, ensuring that the flow of information is consistent and reliable.
  • A key aspect of your role involves rigorous quality review and verification of all retrieved records. You will meticulously review documents for accuracy, completeness, and proper organization.

🎯 Requirements

  • 1-2+ years of experience managing or processing medical records or healthcare documentation.

  • Proven experience with HIPAA compliance and secure data handling practices.
  • Proficiency in navigating various digital platforms including portals, PDFs, secure websites, and fax dashboards.
  • Exceptional attention to detail and a strong commitment to quality assurance.
  • Excellent written and verbal English communication skills for effective coordination.
