Scale Army Careers is seeking a dedicated Operations Support & Events Specialist to join our remote team and play a pivotal role in the success of our client's professional education programs.

• In this part-time, fully remote role, you will be instrumental in supporting the planning and execution of facility-based programs. Your primary focus will be on meticulously managing event data, confirming bookings with precision, and orchestrating travel logistics for faculty and teaching assistants. This position demands an unwavering commitment to accuracy, superior communication abilities, and the capacity to handle a high volume of logistical tasks with consistent reliability.
• Your responsibilities will encompass a wide array of critical operational functions. You will be the guardian of facility and event data, ensuring its accurate entry and diligent maintenance across multiple internal systems. This involves making certain that all facility records are comprehensive, consistent, and updated in real-time, fostering an environment of readily accessible and traceable documentation and booking records for all internal teams.
• A significant part of your role will involve the confirmation and coordination of facility bookings. You will engage directly with venues and partners to confirm every detail of bookings, including precise dates, times, specific meeting space requirements, pricing structures, contract stipulations, and the scope of included services. Your proactive approach will be key in identifying and resolving any discrepancies early in the process, thereby preventing any potential disruptions to program delivery. You will also play a role in the vetting process for facilities that will host in-person audiences for virtual events, ensuring they meet our client's standards.
• Furthermore, you will be responsible for booking sleeping rooms and coordinating all travel logistics for faculty and teaching assistants. This includes ensuring that all travel arrangements are perfectly aligned with program schedules and meticulously tracking booking confirmations, cancellations, changes, and critical deadlines. Your diligent follow-up with hotels will be essential to confirm room reservations, check-in and check-out dates, guest lists, and specific room types, maintaining clear and organized documentation of all hotel communications and confirmations.
• Beyond these core duties, you will provide essential additional operational support. This may include assisting with webinar moderation when required, helping to order extra course materials, and undertaking other logistical tasks that contribute to the smooth operation of our client's programs.
• Success in this role means that facility bookings and travel logistics are executed flawlessly, without any last-minute complications. It means that all documentation and records are not only accurate and up-to-date but also easily traceable, providing a clear audit trail. It signifies that any potential discrepancies are identified and resolved proactively, safeguarding program delivery.
