- • Amplo Inc. is seeking a highly organized and adaptable Operations Coordinator to be the backbone of our daily business operations. This role is crucial for ensuring the smooth functioning of Amplo, a company dedicated to modernizing the insurance brokerage and agency market, a sector vital to our economy. As an execution-focused individual, you will be instrumental in alleviating recurring administrative and coordination tasks from the leadership team, allowing them to focus on strategic initiatives while you ensure the operational gears of Amplo turn seamlessly. Your primary contribution for the initial six months will involve hands-on operational and administrative support, meticulously executing workflows, coordinating logistics, managing essential paperwork, and ensuring no critical task is overlooked. As you grow within the role and the company, the scope of your responsibilities can evolve based on Amplo's most pressing needs. However, the fundamental expectation will remain consistent: to be an exceptionally reliable and proactive operator who provides significant leverage to the leadership team. This involves anticipating needs before they arise, taking full ownership of execution, and ensuring the business operates efficiently and effectively behind the scenes.
- • This position is intentionally broad, offering a dynamic and varied work experience. Your responsibilities will shift weekly, reflecting the diverse operational demands of a growing company. One week, you might find yourself coordinating intricate travel arrangements for conferences and meticulously organizing contracts. The next, you could be deeply involved in scheduling interviews, facilitating the onboarding process for new team members, or diligently refining a critical company tracker that serves as a central source of information for many. This fluidity ensures that you will continuously engage with different facets of the business, developing a comprehensive understanding of Amplo's operations.
- • You will be a key player in driving Operational Excellence across various departments, including People Operations, Go-To-Market (GTM), Finance, and general company administration. A significant part of your role will involve executing and maintaining recurring workflows, such as contract management, approval processes, signature collection, and comprehensive documentation. You will be responsible for tracking tasks, deadlines, and interdependencies to guarantee the seamless progression of work. Acting as a central point of coordination, you will connect different teams, facilitate communication, and drive work forward across the organization.
- • Furthermore, you will contribute to Process & Systems Support by helping to implement and maintain simple, scalable processes for internal coordination, effective vendor management, and accurate reporting. Keeping operational tools, trackers, and shared resources meticulously organized and up-to-date will be a core responsibility. You will also be encouraged to identify small yet impactful opportunities to streamline or simplify recurring tasks, enhancing overall efficiency.
- • In terms of Documentation & Continuous Improvement, you will create and maintain lightweight playbooks, checklists, and essential documentation for repeatable processes. Ensuring that contracts, customer documents, and internal files are correctly uploaded, labeled, and stored will be paramount for maintaining organizational integrity. Your efforts will directly contribute to improving the clarity and consistency of how operational work is performed over time.
- • Your support will extend to People Ops, GTM, Finance, and general Admin. This includes assisting with recruiting and People Ops initiatives, such as scheduling interviews, managing onboarding tasks, and supporting compliance and benefits administration. You will also help with customer- and GTM-related administrative tasks, including social media support, contract routing, CRM-adjacent activities, and internal follow-ups. Coordinating travel, scheduling, and logistics for interviews, conferences (like ITC), events, and meetings will be a regular duty. You will partner closely with Finance and People teams on tasks requiring a high degree of accuracy, organization, and timeliness.
- • Finally, you will provide General Company Support, stepping in wherever needed. As part of a lean, high-ownership team, your initiative will be valued above formal titles. You will take on ad hoc administrative and operational projects as they arise and provide flexible support as company priorities evolve, demonstrating a commitment to Amplo's success.
🎯 Requirements
- • 2–4 years of experience in operations, administration, coordination, or a generalist role.
- • Experience in a fast-paced environment (startup, consulting, ops, or similar) is a plus.
- • Comfortable working across multiple teams and shifting priorities.
- • Organized, versatile, and a quick learner who adapts easily.
- • Low ego, high ownership mentality with a focus on speed and strong follow-through.
- • Detail-oriented and reliable, with a proven ability to close the loop on tasks.
- • Clear communicator with strong writing skills and the ability to keep projects moving forward.
