  • • Own the day-to-day administrative heartbeat of CALSTART’s People Resources function, ensuring every new-hire packet, status change, and audit request is processed with zero-defect accuracy and a customer-service mindset that makes employees feel supported from day one.
  • • Serve as the in-house ADP WorkforceNow super-user: enter and audit employee data, build custom reports for compliance and workforce analytics, troubleshoot access issues, and recommend system tweaks that shave minutes off every transaction—multiplied across 400+ employees, your optimizations save hundreds of hours per year.
  • • Author and continuously refine Standard Operating Procedures that turn tribal knowledge into repeatable playbooks; create screen-capture tutorials, quick-reference cards, and SharePoint knowledge-base articles so remote teammates can self-serve answers 24/7 and onboarding scales seamlessly.
  • • Partner with the Director of People Resources to prepare for annual audits—compile EEO-1, ACA, and OSHA logs, validate I-9s, and run adverse-impact analyses—delivering audit-ready files that have earned CALSTART a clean opinion three years running.
  • • Support cyclical HR programs: open-enrollment data uploads, performance-review workflow testing, merit-cycle uploads, and DEI surveys; your behind-the-scenes precision ensures 98 % on-time completion rates and an employee experience that feels effortless.
  • • Build Power BI / Excel dashboards that translate raw HRIS data into visual stories for senior leadership—turnover heat maps, diversity funnels, and cost-per-hire metrics that directly influence head-count planning and grant-funding strategy.
  • • Field tier-1 employee inquiries via Zendesk ticket queue—answer questions on pay codes, PTO balances, and benefits eligibility within one business day while escalating complex issues with full context, cutting resolution time by 30 %.
  • • Coordinate background checks, drug screens, and e-verify cases for contingent workers funded by federal grants; maintain meticulous documentation so CALSTART remains compliant with DOL, DOT, and CA Air Resources Board regulations.
  • • Pilot emerging HR tech: test AI-enabled chatbots, electronic signature workflows, and digital personnel-file solutions, providing cost-benefit summaries that help the organization adopt innovation without risking data privacy.
  • • Champion a “remote-first” culture by scheduling virtual coffee chats, new-hire Slack introductions, and monthly pulse surveys—your touch keeps part-time and temporary staff feeling just as connected as headquarters employees.

🎯 Requirements

  • • 1–3 years of HR administrative or operations experience, including high-volume data entry and employee-record management
  • • Demonstrated hands-on experience with ADP WorkforceNow (report writing, workflow configuration, and data imports)
  • • Bachelor’s degree in Human Resources, Business Administration, or related field—or equivalent work experience
  • • Process-improvement mindset with prior experience documenting SOPs and creating training materials
  • • Advanced Microsoft Excel skills (pivot tables, v-lookups, Power Query) and comfort navigating SharePoint Online
